Summary DeBra‑Kuempel is seeking a Service Project Manager – HVAC & Mechanical Special Projects in our Cincinnati, Ohio location. This position is responsible for developing, growing, and managing the Special Projects group, working with Project Managers, Piping/Plumbing Estimator, Sheetmetal Estimator, Piping/Plumbing Labor Superintendent, and Sheetmetal Labor Superintendent. Projects include HVAC piping, refrigeration, industrial piping, plumbing, sheetmetal, and equipment replacements. This is a full‑time, long‑term role with a generous benefits package: medical, dental, life, disability, paid vacation, paid holidays, and a 401k plan with company match.
Essential Duties and Responsibilities: Project Manager
Drive the project’s overall flow effectively from inception to completion.
Obtain contract and bid documents from estimating; review scope for project turnover. Attend walk‑throughs.
Ensure all project document control is completed efficiently, including insurance, bonding, permits, submittals, RFIs, change orders, correspondence, etc.
Confer with supervisory personnel, owners, contractors, or design professionals to resolve work‑procedure, complaint, or construction problems.
Plan, schedule, or coordinate construction project activities to meet deadlines.
Prepare and submit budget estimates, progress reports, or cost‑tracking reports.
Inspect or review projects to monitor compliance with building and safety codes, environmental regulations, or other regulations.
Select subcontractors and equipment suppliers with input from engineering, estimating, and purchasing as required.
Verify correct drawings are distributed to field.
Create schedule of values or billing format as required by the contract documents.
Create project schedule showing completion, delivery dates and sub requirements. Integrate into overall project and manpower schedule. Understand notice requirements.
Request POs for major equipment and subs indicating shipping requirements and anticipating delivery dates. Request proper delivery notice at that time.
Facilitate material takeoffs by trade foreman.
Host and attend all necessary meetings with internal and external entities to review scheduling and delivery, work plans, job progress, manpower, and solutions to setbacks.
Support accounting department in monthly billings, collections, and follow‑up on outstanding balances.
Collaborate with foreman regarding project safety (toolbox talks and weekly walk‑through).
Gather information for changes in work and turnover to estimating for pricing. Finalize CO pricing after estimating completes takeoff and attempt to maximize profit on COs. Ensure no work starts prior to approval or notice to proceed.
Assist field personnel in closeout of project.
Obtain as‑built documents from field; request CAD from engineering.
Escalate critical and/or sensitive issues to the Division Manager / Project Executive with recommendation for resolution.
Comply with all company operating policies, procedures, and safety programs as established.
Essential Duties and Responsibilities: Estimator
Collect historical cost data to estimate costs for current or future products.
Consult with clients, vendors, personnel in other departments, or construction foremen to discuss and formulate estimates and resolve issues.
Prepare estimates used by management for planning, organizing, and scheduling work.
Analyze blueprints and other documentation to prepare time, cost, materials, and labor estimates.
Confer with engineers, architects, owners, contractors, and subcontractors on changes and adjustments to cost estimates.
Review contract and bid documents; review and understand scope for project turnover.
Attend walk‑throughs, pre‑bid and scope clarification meetings.
Quantitative take‑off and computer entry.
Prepare scope letters and proposals.
Maintain relationships with customers, general contractors, vendors, and subcontractors.
Coordinate the efforts of junior and staff‑level resources in performing take‑offs, issuing bills of material to vendors and obtaining subcontractor quotes.
Coordinate efforts with the Engineering Department.
Ensure documents are centrally saved in the company’s drive within the confidential estimating folder(s).
Assist project managers with take‑offs and pricing changes in work.
Escalate critical and/or sensitive issues to the Vice President of Preconstruction with recommendation for resolution.
Comply with all company operating policies, procedures, and safety programs as established.
Perform additional assignments as required by the needs of the company or as directed by executives.
Minimum Qualifications
Minimum of 8 years of hands‑on, industry‑specific experience.
Basic computer skills.
Preferred Qualifications
Plumbing background.
Previous experience with CAD and/or project management software.
