Summary Provide administrative support to the Department of Physical Medicine and Rehabilitation (PM&R) and Spaulding Rehabilitation Network (SRN) physicians and the department leadership team. Manage Ongoing and Focused Professional Practice Evaluation (OPPE/FPPE) programs, credentialing, re‑credentialing, and privileging processes, ensuring rigorous quality measures across the system.

Key Responsibilities

Support PM&R division providers with administrative tasks, including calendar management, faxing, scanning, mailing, and credentialing documentation.

Coordinate travel arrangements, expense reports, and CME budget tracking.

Assist with technology troubleshooting, document creation, and presentation preparation.

Reserve conference rooms, order meeting food and beverages, and schedule annual career conferences.

Coordinate administrative team meetings, interview scheduling, and office supply ordering.

Maintain department distribution lists, time cards, and internal organization charts.

Support graduate medical education committees and credentialing meetings.

Track BLS/ACLS training, certification, and coverage schedules.

Perform mailing room stocking, fax distribution, and material fulfillment.

Maintain clean shared workspaces and office supply inventory.

Ongoing & Focused Professional Practice Evaluation (OPPE/FPPE)

Manage credentialing and medical staff policies specific to Spaulding Rehabilitation.

Assist in preparing for Joint Commission surveys, including memos, meetings, and staff education.

Act as contact during TJC visits and coordinate OPPE/FPPE processes across multiple facilities.

Coordinate orientation and bi‑annual performance evaluations for providers at SRB.

Review and update bylaws to ensure compliance with JC medical staff standards.

Lead annual audit of all departmental OPPE plans and manage contact lists of key administrators.

Coordinate with other MGB departments regarding OPPE/FPPE processes.

Expectations

Prepare reports accurately and on time.

Maintain office equipment and inventory.

Schedule appointments with sensitivity to participant schedules.

Attend meetings, prepare notes, and distribute meeting minutes.

Write and present correspondence in appropriate format.

Process expense reimbursement requests and purchase orders accurately.

Education/Degree Required:

Associate’s Degree or equivalent work experience.

Preferred:

BA/BS.

Experience Required:

Minimum 2 years administrative support.

Preferred:

OPPE/FPPE/credentialing experience strongly preferred.

Skills Required:

Excellent customer service skills and ability to interact with diverse populations.

Excellent written, verbal, and electronic communications.

Moderate supervision with self‑direction for moderately complex work.

Organize information and handle sensitive information with confidentiality.

Working knowledge of Microsoft Word, Excel, and PowerPoint.

Preferred:

Handle confidential and sensitive information.

Attention to detail and highly developed communication skills.

Anticipate challenges and implement strategies for addressing them.

High level of service delivery and initiative with priority work.
