STGi is recruiting for a Medical Assistant for Federal Occupational Health (FOH) contracting with the Transportation Security Administration (TSA). The position is located in Rockville, MD and is eligible for telework after the initial probationary period.

Job Summary Provides direct support to the mission of FOH by performing case review activities, interacting with internal and external customers regarding questions and clarifications, coordinating service delivery with FOH Business Operations team, and ensuring total compliance with the Interagency Agreement (IAA).

Essential Functions

Ensure exam scheduling requests are submitted timely and appointment notifications are tracked.

Retrieve exams for case review processing from FOH clinics and private provider networks.

Enter tickets for services performed at FOH private provider network (PPN) clinics.

Process exams including QA, tracking missing components, ensuring completeness and sending to RMO for processing.

Track exams and ensure timely processing.

Enter applicable data on RMO timesheets.

Securely send medical reviews, letters, and exams as needed.

Charge agencies for AMA/RMO time via tickets.

Participate in cost recovery efforts: verify, edit, and update billing tickets.

Communicate professionally with team members and customers.

Exam Processing, Quality and Safety

Meet case review processing timeframes and quality assurance parameters set by program manager.

Attend mandatory meetings and training.

Demonstrate understanding of case review process and learn new workflows.

Show competence in all areas of case review.

Service Operations

Submit scheduling requests within 24 hours of receipt.

Retrieve medical records daily via the PPN portal.

Reach out to OHC clinics for missing records, follow up and track completion.

Process exams timely to meet FOH requirements; QA, send to RMO, complete data entry, send RMO determination to agency.

Escalate missing items to PM.

Transmit exams per IAA specifics and timestamps.

Report privacy and security breaches immediately.

Attend team and customer meetings.

Administrative (Business/Management)

Coordinate with Business Operations to deliver customer services through FOH OHCs and PPN.

Assist implementing new case review processes and changes to agreements.

Cost Recovery

Complete RMO and administrative billing; review discrepancies and notify PM.

Review PPN invoices monthly and correct billing errors.

Enter billing items correctly and timely.

Understand billing database for RMO reviews and exam tracking.

Participate in rolling audits and rectify discrepancies promptly.

Staffing and Reporting Relationships

Be punctual and work all designated hours.

Request leave per specified timelines with vendor and PM.

Adhere to telework policy when permitted.

Create climate of trust, accountability, professionalism; report staffing concerns to PM.

Report hardware or telecommunications issues to PM.

Technology

Proficient in Microsoft Word, Excel, Outlook, Teams, Adobe Acrobat.

Attend IT training and complete mandatory sessions by deadlines.

Inform PM of equipment needs that hinder case review processing.

Perform all FOH tasks on government‑furnished equipment.

Customer Service

Handle customer/agency complaints professionally, responding within 24‑48 hours; if unresolved, communicate status and follow up; notify PM for urgent matters.

Ensure exam processing timeline meets agency agreement.

Contact RMO when specific or urgent request is needed.

Metrics

Generate customer‑specific reports per agency agreement.

Input data into tracking sheets to retrieve metrics requested by leadership.

Suggest process improvements to PM.

Ensure complete data entry for case review processing into database and trackers.

Required Skills

Highly organized, managing competing priorities.

Excellent oral and written communication.

Escalate problems or resource issues appropriately.

Develop and maintain effective communication procedures.

Proficient with MS Excel, Word, Teams, Outlook.

Typing speed: 40 wpm.

Required Experience

Medical Assistant degree/certification required (pass national exam such as CCMA or CMA).

Bachelor’s degree in business or health‑related field preferred, or at least 2 years of administrative experience in healthcare program.

Working Conditions / Physical Requirements

Telework eligible after probationary period.

Pay rate: Starting at $24/hour
