Fleet Administrator (Project Management)
Join Our Team as a Fleet Administrator! Our Fleet Administrator supports our Shop & Purchasing Manager by ensuring all vehicles and equipment are properly maintained, registered, tracked, and utilized efficiently.
We are looking for someone who is accountable, engaged, helpful, humble, and resourceful, a team player who takes ownership, collaborates effectively, and proactively supports the company and colleagues.
Key Responsibilities
Coordinate delivery, pickup, and return of all rental and company-owned equipment (boom lifts, trailers, generators, dumpsters, etc.)
Maintain accurate fleet inventory and track usage, location, return dates, and condition
Schedule and track maintenance and inspections for vehicles and heavy equipment; perform daily/weekly inspections
Support disposal or sale of outdated or unsafe equipment
Handle DMV-related tasks (registrations, renewals, titles) and maintain insurance, inspection, and compliance records
Coordinate installation, removal, and reassignment of GPS, dash cams, and telematics systems
Schedule vehicle upfits (truck wraps, ladder racks, decals, specialty modifications)
Assist with vendor coordination for maintenance, repairs, and equipment services
Track fleet expenses, produce reports in Excel, and maintain organized fleet documentation
Support fleet policies, procedures, and safety standards
Qualifications
23 years of experience in fleet coordination, logistics, roofing equipment management, automotive, or related administrative role
Mechanical or automotive experience (mechanic, service writer, diesel tech) is a plus
Proficient with Microsoft Office, especially Excel
Comfortable handling DMV paperwork and compliance documentation
Strong organizational skills and attention to detail
Able to work in office, shop, and outdoor environments
Must have a valid driver’s license and meet company driving standards
Able to lift up to 50 lbs occasionally and travel up to 10%
Bilingual in English and Spanish a plus
Physical & Work Environment Combination of office, shop, warehouse, and outdoor work. Exposure to temperatures, weather, and construction environments. Regular use of hands for tools and office equipment.
