Performs a variety of fiscal, accounting, and administrative duties in support of the Manatee County Sheriff’s Office Fiscal Department, including accounts payable and receivable, purchasing support, budget tracking, grant administration, and asset management. Work involves analyzing and maintaining financial records, processing accounting transactions, reconciling accounts, preparing journal entries, assisting with grant management, and supporting inventory and fixed asset tracking. Typical duties include preparing financial reports, processing invoices and payments, assisting in budget compilation, maintaining grant documentation, monitoring expenditures for compliance, reconciling general ledger accounts, updating inventory and fixed asset records, and communicating with vendors and internal staff to resolve discrepancies.

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of accounting and budgetary principles, practices, and terminology.

Ability to learn and perform duties across multiple fiscal functions including: accounts payable, accounts receivable, payroll, budgeting, inventory, and fixed assets.

Strong analytical and problem‑solving skills with the ability to research and reconcile discrepancies.

Exceptional attention to detail and accuracy in processing financial data, reconciling accounts, and maintaining records.

Proficiency in Microsoft Excel and experience with accounting systems (experience with One Solution and / or Finance Enterprise preferred).

Ability to prepare accurate financial reports, records, and documentation.

Strong organizational skills and ability to manage multiple tasks within deadlines.

Effective communication skills, both oral and written.

Ability to establish and maintain positive working relationships with coworkers, management, and external vendors.

Ability to maintain confidentiality of sensitive fiscal information.

PHYSICAL ABILITIES

Required to speak and hear clearly.

Frequently required to sit and use hands and fingers to handle or feel.

Occasionally required to stand, walk, reach with arms and hands, climb stairs or balance, and to stoop, kneel, crouch or crawl.

Required close vision.

TASK

Performs fiscal duties across multiple areas as assigned.

Reviews and processes invoices, requisitions, and purchase orders.

Prepares and reconciles journal entries, ledger accounts, and monthly financial reports.

Assists in the preparation, tracking, and monitoring of departmental budgets and expenditures.

Assists with grant administration, including documentation, compliance monitoring, and reporting.

Supports inventory and fixed asset processes, including tagging, record maintenance, and reconciliation.

Prepares spreadsheets and analyses to support financial decision making.

Researches and resolves fiscal discrepancies and communicates effectively with vendors and agency staff.

Maintains organized and accurate financial records in accordance with agency and accounting standards.

Provides backup coverage for other fiscal positions as needed, ensuring continuity of operations during staff absences.

Successfully completes all assignments to specifications, within established timeframes and budgets, and in accordance with agency policies and regulations.

Performs other related duties as assigned.

High School Diploma or Equivalent (GED) required.

Bachelor’s degree in Accounting, Finance, or closely related field required.

Equivalent combinations (totaling 4 years) of education, training, and progressively responsible work experience in accounting, finance, business administration, or a closely related field may be considered in lieu of degree requirement.

Experience with financial systems preferred.

Valid Florida driver’s license required.
