UniversalAGI is building OpenAI for Physics. We’re an AI startup based in San Francisco backed by Elad Gil (#1 Solo VC), Eric Schmidt (former Google CEO), Prith Banerjee (ANSYS CTO), Ion Stoica (Databricks Founder), and other world-class investors. We’re building foundation AI models for physics that enable end-to-end industrial automation from initial design through optimization, validation, and production.

About the Role
As our Recruiting Coordinator, you’ll be the operational backbone of our talent acquisition efforts, ensuring every candidate has an exceptional experience from first contact through offer. You’ll keep our hiring machine running smoothly by owning scheduling, coordination, and candidate communications while our technical sourcers and hiring managers focus on evaluation and closing.
This is an ideal role for a recent graduate who’s highly organized, thrives in fast-paced environments, and wants to learn the fundamentals of recruiting at a hypergrowth AI startup. You’ll gain exposure to how world-class technical teams are built while developing skills that translate across recruiting, operations, and people functions.
What You’ll Do
Own interview scheduling end-to-end: Coordinate complex, multi-round interviews across busy calendars for candidates, interviewers, and CEO, often across time zones and with tight turnarounds
Deliver an exceptional candidate experience: Serve as the primary point of contact for candidates throughout the process, ensuring timely communication, clear expectations, and a professional, welcoming experience
Manage logistics: Prepare interview materials, coordinate travel arrangements when needed, greet onsite candidates, and handle any day‑of logistics
Maintain our systems: Keep our ATS (applicant tracking system) accurate and up-to-date, track candidate status, and ensure no one falls through the cracks
Support recruiting operations: Help with job postings, generate pipeline reports, assist with offer letter preparation, and support onboarding coordination for new hires
Identify process improvements: Spot inefficiencies and suggest ways to make our recruiting coordination faster and smoother as we scale
Partner across the team: Work closely with our Technical Sourcer, hiring managers, and leadership to keep everyone aligned and informed
Qualifications
Bachelor’s degree (recent graduate or up to 1 year of experience welcome)
Exceptional organizational skills and attention to detail—you don’t let things slip through the cracks
Strong written and verbal communication skills with a professional, friendly tone
Ability to juggle multiple priorities and stay calm under pressure in a fast-moving environment
Proficiency with Google Workspace (Calendar, Docs, Sheets) or similar productivity tools
Proactive problem‑solver who anticipates needs and takes initiative
Genuine interest in recruiting, talent, or people operations as a career path
Comfortable working in a high‑intensity startup environment with evolving priorities
Bonus Qualifications
Internship or part‑time experience in recruiting, HR, operations, or administrative roles
Experience with applicant tracking systems (Greenhouse, Lever, Ashby, etc.)
Interest in AI, deep tech, or the startup ecosystem
Experience coordinating events, projects, or complex schedules (even in extracurricular or academic settings)
