Executive Assistant to Chief Executive Officer

We are a sports tech and data company seeking a highly organized and resourceful Executive Assistant to support the CEO in a hybrid remote/in-office role based in Austin, Texas.

Responsibilities

  • Provide comprehensive executive administrative support to the CEO, including calendar management, scheduling, communications handling, and overall workflow coordination within Google Workspace.
  • Establish and document new workflows, organizational systems, and operational processes tailored to the CEO’s needs, with a focus on bringing clarity and structure to an environment with minimal existing frameworks.
  • Support the CEO in improving day‑to‑day organization, task management, and prioritization, including developing systems that help address organizational challenges in a professional and supportive manner.
  • Help coordinate meeting/call effectiveness and efficiency through applying structured processes before and after meetings with attending stakeholders.
  • Maintain digital and physical organization systems, including filing, documentation management, and efficient use of shared tools such as Google Drive and DocuSign.
  • Prepare, edit, and proofread documents, reports, and correspondence with a high level of accuracy and professionalism.
  • Maintain discretion and confidentiality while partnering closely with the CEO in both business and personal contexts.

Qualifications

  • Must be based in Austin, Texas and able to work in‑office up to 20 hrs/week.
  • Proven experience as an executive assistant or similar administrative role, ideally with direct support to senior leadership.
  • Strong proficiency in Google Workspace with the ability to create clarity, structure, and workflow consistency.
  • Excellent organizational and prioritization skills, with the ability to manage multiple inputs and bring order to complex or evolving environments.
  • Strong written communication, proofreading, and document preparation skills.
  • Steady, solutions‑oriented approach and the ability to support a high‑energy executive requiring structure and systems.
  • Discretion, judgment, and professionalism in handling sensitive information.
