Position Summary
The Administrative Assistant plays a critical role in keeping the firm organized, optimized, and ensuring our clients receive exceptional support. The ideal candidate has experience scheduling, interacting with clients and customers at a high level, and supporting teams with a wide range of needs. This role will interact with clients regularly, optimize calendars for advisors, and support the team with a wide range of tasks. A passion for providing great experiences, collaboration, and positive, strong communication skills are required.
Responsibilities and Duties
Client Scheduling & Support
- Schedule client meetings – Work with advisors to schedule and manage calendars and coordinate meetings with clients. Will be responsible for balancing and managing schedules of multiple individuals.
- Order and coordinate client gifts – Order and coordinate gifts for birthdays, holidays, special occasions, etc. Assist with ideation of creative and thoughtful gift ideas for clients.
- Ownership of firm phone line – Responsible for answering calls and managing voicemail to route to team and advisors accordingly.
- CRM maintenance – Assist with the maintenance and updating of the CRM.
- Client outreach – Assist with client outreach via phone calls and emails. Strong communication skills are necessary.
- Newsletter Management – Own the coordination and sending of firm newsletters and similar mass communications.
Team Coordination
- Coordinate and schedule all exec meetings, leadership meetings, and firm-wide meetings.
- Plan team building events, meetings, and celebrations.
- Manage team event calendars (birthdays, anniversaries, etc.).
- Execute office tasks needed, including but not limited to ordering food, office supplies, mail organization, document management (signatures, fax, etc.).
- Manage facility tasks for the team, such as building parking passes.
- Maintain Advisor Licensing and registrations.
- Maintain computer status/order computers and technology for teammates.
Client Events
- Execute planning and coordination of advisor and client events. This may require communication and collaboration with events/locations, sending and managing invites, and managing the day-of event experience.
Potential Additional Support Areas
- Support marketing execution tasks as needed (schedule webinars, execute content publications, etc.).
- Support Operations team as backup for operations tasks as needed.
- Help maintain a professional and organized office space for the team and clients.
Required Skills
- Strong organizational and time management skills, excellent communication and interpersonal abilities, and problem-solving skills.
- The ability to effectively multi-task and prioritize while maintaining a highly varied workload.
- 5 years of previous experience as an administrative assistant, office manager, executive assistant, or scheduler.
- Ability to execute high quality written and verbal correspondence with clients as well as within the firm.
- Strong attention to detail with the ability to work with a high degree of accuracy.
- Experience with Microsoft Office.
- Experience managing and operating in a Customer Relationship Management (CRM) system.
- High school diploma.
Preferred Qualifications
- Previous experience working in wealth management or financial services.
- Previous administrative assistant experience supporting and scheduling for financial advisors.
