We have an immediate opening for an Intake Specialist/Receptionist for our busy Estate Planning/Probate practice. This person will handle the Firm’s relationships with the clients, potential clients, former clients, referral sources, professional contacts, and the general public.

 

You do not need experience working in a law firm but having sales, customer service and administrative experience is preferred. At a minimum, you should have an interest in working in the legal industry. Recent college graduates are encouraged to apply, and training is provided.

Intake Specialist Responsibilities:

· Ability to identify qualified leads by asking a series of questions designed to speak to the ideal A+ client, target the correct legal issues, gauge urgency/motivation, and determine whether there is potential for a conflict of interest.

· Ability to initiate the pre-engagement glidepath.

· Follow-up with new clients within 5 days of engagement to ensure customer satisfaction and whether there are any questions about client policies.

· Stay in contact with leads who do not schedule consultations, PNCs who do not appear for their consult, and PNCs that do not sign up after their initial consultation to keep the door open for future contact.

· Demonstrate sound judgment, consistent logic, and a record of accountability.

· Believe in the firm’s core values, integrity, support, ingenuity, teamwork, and inclusion.

· Ability to work with varying personalities proficiently.

· Have exceptional oral and written communication skills, including excellent proofreading, spelling, grammar, punctuation, form, and style.

· Possess strong computer and Internet skills, including the ability to resolve tech issues and the ability to learn new software quickly with limited guidance.

· Proficiency with MS Office, including Word, Outlook, and Excel.

· Possess excellent client service and listening skills for anticipating needs of clients and attorneys, and for maintaining a professional image and performance.

 

Marketing Support Duties:

· Executes the Firm’s post-engagement glidepath (communications to clients when case closes in stages from 1 day to 1 year, obtains reviews and testimonials).

· Ensure Back-end Marketing calls to former clients and current referral sources are blocked on the Owner’s calendar, provide call lists to the Owner prior to the call, and update the rainmaking rolodex (or CRM) timely.

· Follow an approved script call for former clients (on behalf of the Owner) to check-in with current or former clients.

· Ensure notecards and follow-up cards are sent timely after networking events or on important dates, and the rainmaking rolodex (or CRM) is updated timely.

· Maintain and help update a tracking system to monitor and report on progress with leads, prospective new clients, and referral sources. Provide weekly reports to the Owner.

· Contacts former clients as part of the post-engagement glidepath.

· Provide the Owner with lists of GAS calls for the week.

 

Assistant Responsibilities:

· Greet people that come into the office.

· Sort and scan mail to the appropriate staff.

· Schedule PNC consultations on attorney’s calendar.

· Ensure the consulting attorney has all intake notes prior to the consultation.

 

Education and Experience:

· Prior customer service experience is required.

· Experience with a cloud-based/web-based CRM system is a plus.

· Knowledge of the legal industry is an asset.

· Education and/or work experience equivalent to a bachelor's degree is preferred.
