Osher Lifelong Learning Institute (OLLI Mason), a non‑profit educational organization based at George Mason University in Fairfax, VA, seeks a part‑time Operations Manager. The Operations Manager is a key member of the OLLI Mason team, responsible for coordinating the logistical and administrative operations for the organization. This part‑time role (20‑30 hours per week) supports the daily functioning of OLLI’s facility, volunteers, and special events, helping to create a welcoming and well‑organized environment for members and staff.

Schedule: 20‑30 hours per week; Flexible; core hours Monday‑Friday 9am‑12pm.

Compensation: $28 per hour; No benefits.

Responsibilities:

Facility & Site Coordination

  • Oversees the OLLI daily operations taking place at all OLLI Mason Tallwood Campus and off‑site rentals/satellite locations.
  • Address daily operational issues such as class changes, rescheduling, and communication with instructors, site assistants, and registrants.
  • Coordinates with GMU Facility Management to address maintenance needs.
  • Serves as the primary liaison with partners and off‑site locations during term and term preparation.
  • Manages Master Calendar and reviews Daily Schedule for updates.
  • Ensures office coverage collaboratively with Lead Site Manager and Registrar.
  • Works with Program Staff and Technology Manager to assign classroom and meeting space based on program schedules.
  • Orders supplies for office, hospitality (coffee and snacks), classroom supplies, and swag as needed.
  • Supervises office volunteers, including training and task delegation.
  • Updates and maintains Office Volunteer Manual.
  • Fosters a collaborative and service‑oriented volunteerli>
  • Supports Board of Directors, including printing and sending annual and monthly meeting documents and coordination of annual election.

Communications

  • Updates and sends Daily Schedule to members and staff.
  • Responds to emails sent to main OLLI email address.
  • Manages mailing lists for the annual campaign and seasonal catalogs.
  • Orders catalogues for each term and manages distribution lists for catalog.
  • Coordinates with Communications Associate on message distribution.

Special Projects & Events

  • Organizes 4‑5 special events per year such as volunteer appreciation events, seasonal socials, and staff gatherings.
  • Collaborates with staff and volunteers to ensure successful execution of events.
  • Works with Executive Director on execution of contracts and Finance Associate to ensure prompt payment of bills.
  • Coordinates Volunteer and Member appreciation activities, including notes and E‑News highlights.

Personnel

  • Responsible for Human Resources functions for staff of 15, including creation and maintenance of an Employee Manual, working with the Executive Director to fill vacancies, and onboarding new employees.
  • Notifies staff of required CPR, First Aid and AED trainings and maintains accurate records of completion.

Qualifications

  • Strong organizational skills and ability to prioritize effectively.
  • Ability to meet deadlines in a fast‑paced environment.
  • Excellent interpersonal and communication skills.
  • Experience in facilities coordination, event planning, and/or volunteer management preferred.
  • Proficiency in Microsoft Office.
  • Ability to work independently and collaboratively.
  • Attention to Detail.
