In this pivotal role, you’ll take charge of managing complex calendars, coordinating high-level meetings, and ensuring seamless execution of day-to-day executive operations. You’ll handle confidential information with exceptional discretion, communicate confidently with stakeholders at all levels, and act as a central hub for information flow across the organization. Ideal candidate brings demonstrated experience preparing presentations, board packets, and other executive-level meeting materials, along with overseeing all logistics for leadership and board meetings—from agenda development to minute-taking and follow-up actions.

Responsibilities:

• Manage executive calendars, schedule appointments, and organize travel arrangements to ensure efficient time management.

• Coordinate and plan leadership meetings, board meetings, and company-wide events, including preparing agendas, taking minutes, and managing logistics.

• Prepare and submit expense reports accurately and in a timely manner.

• Support special projects by conducting research, compiling data, and collaborating with teams to achieve project goals.

• Maintain confidentiality while handling sensitive information with professionalism and discretion.

• Oversee office operations, including inventory management and clerical tasks, to ensure a well-functioning work environment.

• Develop and create presentations and materials for executive and board meetings.

• Act as a point of contact for internal and external stakeholders, fostering positive relationships and clear communication.

• Ensure the accuracy and organization of meeting materials, agendas, and notes.

• Identify opportunities to streamline processes and improve efficiency in administrative operations.

• Bachelor’s degree or equivalent relevant experience.

• At least 5 years of experience providing high-level administrative support to executives.

• Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and expense management software.

• Strong organizational and multitasking abilities, with an aptitude for managing competing priorities.

• Excellent written and verbal communication skills.

• Demonstrated ability to work independently, take initiative, and make sound decisions.

• Proven track record of handling confidential information with discretion.

• Experience coordinating meetings, events, and travel arrangements for senior leadership.


Compensation & Benefits:

• The targeted salary range for this position is $70-90K

• Full benefits package (health, dental, and vision)
