The Patient Access Representative is responsible for: Coordinating and performing all duties to ensure that the MVH registration system is up to date with correct patient information, including utilizing all available tools to verify, enter, and confirm all insurance information. Cross-training to cover the switchboard/ER Greeter and mail room functions. Carrying out all responsibilities in a professional and courteous manner aligned with guidelines for the position; meeting the needs of patients is the top priority. Maintain a courteous, calm and pleasant manner at all times. Greet people with a helpful and positive attitude. Represent Martha’s Vineyard Hospital in a positive manner in all communications. Demonstrate a commitment to maintaining positive and effective working relationships with other hospital departments. Use proper workplace etiquette to encourage a pleasant and supportive departmental atmosphere. Welcome each patient and visitor to MVH with excellent customer service; determine needs and direct them in a kind and courteous manner. Input correct ordering and primary care physician information for all patients in accordance with HIPAA regulations to ensure test results reach proper destinations. Scan front and back of each patient’s insurance card, and for new patients, front and back of Photo ID. Identify and correctly enter insurance policies prime to MR. Act as a resource for self-pay patients and those with MassHealth questions by providing literature or directing them to the Patient Financial Counselor. Direct patients and their paperwork to the appropriate departments at the appropriate time. Respect the confidentiality of patient information and ensure conversations are kept confidential. Maintain EMTALA awareness; collect appropriate insurance co-payment and process transactions using Cash Tracker. Utilize AT&T Language Line to assist patients who do not speak English. Perform quality control audits and update registration errors. Interact effectively with all departments and patients to ensure a smooth registration process. Advise manager of errors for ongoing training to minimize revenue impact. Perform other reasonable duties as assigned by management. Switchboard Operator / ER Greeter
Answer outside calls, relay calls to proper department/extension, and transfer calls when necessary. Answer and screen in-house calls; assist patients as needed. In the ED, assess illness/injury and seek medical assistance if life-threatening; this is not a clinical position and is performed to the best of the greeter’s ability. Assist ED registrars with meeting patient needs for timely registration. Monitor the ED waiting room and wait times. Maintain patient confidentiality and provide directions as needed. Maintain a log of patient names, room numbers, and extensions to expedite relayed calls. Update census at shift start and every 3 hours, at minimum. Establish a list of on-call people at the start of the shift; page as needed. Mail Room
Sort incoming mail and post outgoing mail. Prepare batch mailings as requested. Maintain postage meter with adequate funds; stock mailing supplies, including FedEx and USPS forms. Report repairs for postage, fax, and copier machines. Assist with other duties as assigned. Skills / Abilities / Competencies
Maintain and promote a positive attitude and customer service with patients, staff, and other departments. Maintain compliance with hospital policies, procedures, and regulatory mandates. Demonstrate competency for entry of demographic and insurance information. Problem solving and attention to accuracy and completeness of demographic information. Understand and apply hospital and departmental policies and procedures. Ability to foster a team environment and independently follow tasks to completion. Make decisions based on experience and situation; multitask and handle switchboard responsibilities. Computer skills; greet patients; process and sort mail. Qualifications
Education: High School Diploma or Equivalent required. Can this role accept experience in lieu of a degree? No. Licenses and Credentials: Experience preferred with public interactions; 0-1 year required. Knowledge, Skills and Abilities: Must be able to read, write legibly, speak clearly, and understand English; able to make independent decisions when warranted; able to interact tactfully with staff, patients, families, visitors, government personnel, and the general public; able to work harmoniously with both professional and non-professional personnel; able to work in a fast-paced environment with multiple tasks; ability to multitask and handle switchboard calls; computer skills; ability to greet patients; ability to process and sort mail.
