Women’s Services Coordinator

Reports to: Director of Women’s Services
Grade Level: 18 | Status: Full Time
Job Summary: The Women’s Services Coordinator is responsible for assisting with administrative operations as well as patient care as directed by the RN and Director of Women’s Services.
Duties / Responsibilities
I. Clerical Duties
Allow visitors & family to access the unit by screening entries. Handle all visitors and situations tactfully, confidentially, professionally, and with courtesy.
Front desk duties: answer phones, sort correspondence, fax orders to pharmacy, dietary, etc.; handle incoming mail and respond promptly or forward to the appropriate person.
Fill all copiers, printers, and fax machines with paper each morning.
Call outside providers to obtain missing documents for upcoming surgery.
Call patients to register for admission.
Obtain the information needed for admission including the H&P & labs printed from OB office EMR.
Prepare patient charts and disassemble charts after discharge.
Restock unit supplies, including delivery carts, labor rooms after a delivery, patient care rooms, newborn cribs, office supplies, and all stock and special order items.
Submit work orders for equipment that needs servicing or rooms that need repairs to engineering; alert the Director.
Submit IS&T work orders.
In-house ordering/printing – provide list/needs to purchasing department.
Appropriately and correctly enter scheduled inductions into induction binder schedule.
Perform other duties as assigned.
II. Patient Care Duties
Obtain vital signs for patients.
Assist in transport, transfer, and discharge of patients.
Answer call bells and assist with patient care as needed.
Run lab specimens to the lab (e.g., ABGs on newborns) and wait for immediate results.
Set up delivery carts in the labor room.
III. Major Responsibilities and Duties
Birth Certificates – organize and ensure that final birth certificates are submitted to the City Clerk’s office within 5 business days, including:
Ensure information in the birth certificate packet is complete and accurate.
Enter information into the State Perinatal Data System (SPDS).
Confirm that the draft birth certificate is correct.
Complete the Acknowledgment of Parentage form as necessary.
Finalize the birth certificate.
Coordinate provider signature.
Deliver to the City Clerk.
Fetal Death Certificates – organize and ensure that fetal death certificates are complete, accurate, and filed within 72 hours of demise.
Generate HIV sheet-print maternal copy, newborn copy, and save a copy to the OH drive.
Complete referrals for WIC, health department, and other services; fill out paperwork & fax.
Ensure timely completion of patient charges for labor room patients.
Assist with departmental timekeeping, including Kronos daily maintenance, schedule updates per staffing sheet, and daily review of staffing sheet for completion.
Register patients for classes, including Childbirth Education and Breastfeeding Education.
Required Skills & Abilities
Excellent organizational and time‑management skills; ability to handle multiple tasks simultaneously.
Excellent communication, customer service, and interpersonal skills.
Excellent verbal and written communication skills.
Ability to learn and apply all Oswego Health policies/procedures as they pertain to specific duties.
PC skills including Microsoft Office Suite and internet use per policy.
Ability to complete documentation accurately and in a timely manner.
Accuracy in identifying information for proper filing, collating, or reporting.
Understanding and compliance with HIPAA and Protected Health Information rules and regulations.
Education & Experience
High school diploma or equivalent required.
One year of experience in patient care preferred.
Two years’ experience in an administrative support role within a healthcare setting preferred.
Working Conditions
Ability to sit and stand for extended periods of time; can lift up to twenty (20) pounds.
Moving, lifting or transferring patients may involve lifting up to fifty (50) pounds.
Assist with weights of more than one hundred (100) pounds; fine‑motor skills and visual acuity required.
Pay Range:
$20.20/hr Salary is based on commensurate experience and other qualifications.
