Overview
River Ridge Animal Hospital has been serving the Sauk Valley area for over 75 years. Our 17,000 square foot veterinary medical center offers general veterinary medicine and wellness care, therapeutic and surgical laser, digital radiology and ultrasound diagnostics, rhinoscopy, dental care, internal medicine, pet grooming, doggie daycare, and state of the art boarding. We are home to 6 full-time DVMs, 2 part-time DVMs, 7 CVTs, and 40+ team members in total. Role : Client Service Representative (CSR) — reporting to the Practice Manager. The CSR provides an exceptional client experience during every interaction and performs practice administrative tasks such as record maintenance and appointment tracking. The CSR manages practice reception (visitor and telephone), maintenance of veterinary medical records, accounts maintenance, cash processing, data entry, word processing and mail services. The CSR applies knowledge of practice processes and services, visitor and animal patient treatment rules, and veterinary record requirements to ensure every patient is well cared for and every client has an exceptional experience.
Responsibilities
Leads practice opening and closing procedures per Practice Manager instructions and practice procedures.
Maintains cleanliness and presentation of all public areas (front desk, reception, waiting area, offices, public restrooms, and exam rooms).
Processes cash, checks, charge card payments and credit account payments.
Schedules appointments for the clinic adhering to practice and Doctor preferences and ensures appropriate workflow.
Assists in updating client/patient files as needed.
Prepares and sends client correspondence.
Sends reminder notices to clients for periodic notifications; conducts follow-ups from a callback list.
Performs regular backups of the computer system as directed.
Performs and oversees daily posting of business activities.
Welcomes clients and patients with a warm, friendly demeanor and ensures an excellent experience during visits.
Answers incoming telephone calls with proper telephone etiquette.
Provides clients with medications, instructions, and take-home items as needed.
Handles emergency situations with care, patience, and in accordance with clinic policies and procedures.
Addresses client concerns calmly to ensure a satisfactory experience.
Qualifications
Ability to work on weekends as required
High school diploma or equivalent
Previous veterinary experience preferred
Client satisfaction references preferred
Practices OSHA safety techniques including proper PPE
