Intake Case Specialist – Job Overview
Arizona State University seeks an Intake Case Specialist to serve as the initial point of contact for individuals reporting alleged violations of ASU policies examined by the Office of University Rights and Responsibilities (OURR). Responsibilities
Essential Duties Provides initial intake screening of all potential complaints. Differentiates between complaints and inquiries within OURR’s investigative responsibility and those to be referred to other processes. Refers non-investigative complaints to appropriate processes in a timely manner. Recognizes matters requiring immediate action or referrals and communicates promptly with relevant individuals. Takes accurate initial statements through interviews and collects evidence from complainants, third-party reporters, and witnesses. Creates initial case cards with relevant documents for Case Management Specialists. Identifies evidence to be collected during an investigation and works with individuals and offices to gather that evidence. Manages incoming phone calls, voicemails, emails, and in-person visits in a timely manner. Drafts recommendations to University decision-makers identifying cases that may be best handled proactively. Communicates professionally both verbally and in writing with ASU-affiliated and non-ASU-affiliated individuals. Desired Qualifications
Experience as a paralegal, legal clerk, or similar work in a legal or investigative setting. Experience interacting with individuals who are experiencing distress and gathering information about sensitive topics. Experience interviewing witnesses or gathering relevant documents. Knowledge of Title VII, Title IX, ADAAA, ADEA, or similar standards governing discrimination and harassment. Experience managing electronic case files. Knowledge, Skills, and Abilities
Effective communication with students, faculty, staff, administrators, and the public on sensitive topics. Use of appropriate discretion and maintenance of confidentiality. Proficiency with technology such as Outlook, Word, Excel, Slack, Dropbox, One Drive, Zoom, and JIRA. Understanding of interviewing and information-gathering techniques used at the initial stages of an inquiry or investigation. Ability to maintain organized files with calendaring, follow-up, and attention to detail. Skill in applying relevant policies to determine matters within and outside OURR’s investigative responsibilities. Ability to write recommendations or referrals in an organized, clear, and concise manner. Working Environment
Environment-controlled office setting; extended periods of sitting, keyboarding, and phone use; standing and walking moderate distances to perform work. Ability to communicate verbally, read, write, see, and hear to perform essential functions. Some bending, reaching, lifting, pushing, and pulling up to 25 pounds. Regular activities require ability to quickly change priorities, including deescalating tense situations or resolving conflicts.
