Receptionist / Office Administrator

We are seeking a professional and organized Receptionist / Office Administrator to manage front desk operations and provide administrative support across multiple departments. This role is client-facing and plays a key part in creating a welcoming office environment while ensuring smooth daily operations.

Key Responsibilities

Front Desk & Visitor Management

  • Greet and assist all visitors and employees at the front desk
  • Ensure the Visitor iPad is powered on daily and SwipedOn is active
  • Require all visitors to sign in and out
  • Answer incoming phone calls and route calls appropriately
  • Assist walk-up inquiries and general requests

Office & Facility Management

  • Prepare coffee each morning
  • Maintain a clean, organized, and fully stocked kitchen
  • Ensure conference rooms are clean, organized, and properly stocked
  • Keep supply closets stocked and organized
  • Assign and manage employee lockers and parking spaces
  • Check, sort, and distribute mail daily
  • Run work-related errands as needed

Event & Trade Show Support

  • Manage trade show supplies and company swag
  • Coordinate shipping of trade show materials to events and arrange return shipments
  • Research potential new trade shows and events
  • Assist with event planning in coordination with Iris

Inventory & Apparel Management

  • Manage company work shirts, hoodies, and office polos
  • Track and organize vendor, employee, and apparel files

Accounting & Administrative Support

  • Enter new vendors into the system
  • Process Accounts Payable from multiple sources, including email, mail, Uline, FedEx, and FedEx Freight
  • Prepare and send checks; file bills appropriately
  • Maintain organized vendor and employee files
  • Assist with state tax return documentation as needed

  • Strong verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Ability to multitask and prioritize in a fast-paced office environment
  • Proficiency with basic office technology and systems
  • Reliable, proactive, and team-oriented

Schedule & Pay

  • Schedule: 7:30am-4:00pm
  • Pay Rate: $19-$20
