School Office Assistant

This is a promotional recruitment. Only current Carlsbad Unified School District employees who have passed their probationary period may apply.

For candidates who meet the minimum requirements, as demonstrated in their application materials, the examination process will consist of a written examination and a structured interview. The candidates achieving the top three ranks of the eligibility list will be referred for the final selection interview along with any transfer or reinstatement candidates. The eligibility list will be used to fill any vacancies for School Office Assistant or Office Assistant which may occur within a period of one year, or until the eligibility list is depleted.

Typical assignments will work 4-8 hours per day, 217 days per year. The current vacancy is an 8 hour per day position. Basic function:

Under the direction of an assigned supervisor, perform a variety of general clerical duties in support of an assigned school office; answer phones and greet and assist students, parents, staff and visitors.

Essential duties:

Perform a variety of general clerical duties in support of an assigned school office including typing, filing, duplicating and distributing materials.

Type letters, lists, memoranda, bulletins, reports, requisitions, flyers, forms or other materials from detailed or rough copy; compose routine correspondence; proofread completed typing assignments to assure accuracy.

Serve as receptionist, answering telephone calls and directing calls to appropriate personnel; take and relay messages as appropriate.

Receive, greet and direct visitors; respond to inquiries and provide a variety of general information to personnel, students, parents and the general public.

Prepare and maintain various attendance records and reports as required; verify excused and unexcused absences; input and update attendance and student health information in an assigned computer system; maintain automated records; generate computerized lists and reports.

Prepare and maintain logs, files and records; review and verify accuracy and completeness of various documents; prepare routine reports as directed; verify and process forms, applications and other documents as needed; assure accuracy of student attendance, discipline and enrollment records and cum files; maintain school calendar as assigned.

Receive, sort and distribute mail; prepare and distribute informational packets and bulk mailings as directed.

Operate a variety of office equipment including a copier, fax machine, typewriter, computer and assigned software.

Communicate with personnel and outside agencies to exchange information and resolve issues or concerns.

Assist in monitoring inventory levels of office supplies; assist with ordering, receiving and maintaining inventory of office supplies.

Administer basic first aid to students as directed.

Serve as backup in the Health Office as needed.

Assist with residency verification activities as assigned.

Perform related duties as assigned.

Knowledge of: Modern office practices, procedures and equipment. Telephone techniques and etiquette. Basic record-keeping and filing techniques. Correct English usage, grammar, spelling, punctuation and vocabulary. Operation of a computer and assigned software. Oral and written communication skills. Interpersonal skills using tact, patience and courtesy.

Ability to: Perform a variety of general clerical duties in support of an assigned school office. Answer telephones and greet the public courteously. Learn school and program objectives, policies, procedures and goals. Type or input data at an acceptable rate of speed. Operate a variety of office equipment including a computer and assigned software. Understand and follow oral and written directions. Establish and maintain cooperative and effective working relationships with others. Communicate effectively both orally and in writing. Complete work with many interruptions. Receive, sort and distribute mail.

Education and experience: Any combination equivalent to: graduation from high school and one year general clerical experience.

Licenses and other requirements: Some positions in this class may be required to speak, read and/or write in a designated second language as assigned by the position. Valid First Aid and CPR certification issued by an authorized agency.
