CLERICAL ASSOCIATE - 10251 APPLICANTS MUST BE PERMANENT IN THE CLERICAL ASSOCIATE CIVIL SERVICE TITLE.

Overview The DSS Accountability Office (DSS‑AO) is responsible for protecting the integrity of social services programs administered by the New York City Department of Social Services (DSS) and ensuring that DSS complies with all statutory, regulatory, and contractual standards.

The Division of Financial Review and Processing (FRP) is responsible for initiating adverse actions on cash assistance cases due to information obtained from the State Wage Reporting, Department of Corrections, Unemployment Insurance, and child support greater than cash assistance grant computer matches.

The FRP also sanctions individuals who fail to cooperate with child support requirements and takes actions on behalf of the Bureau of Fraud Investigation and Liens and Recovery.

Responsibilities

Record all documents in the unit log that have been data entered and compile weekly and monthly statistical reports.

Perform quality assurance on all referral and recoupment packets, cases, and documents associated with ongoing special projects.

Make copies and data enter each packet into the DFRP tracking system.

Data enter batches of information from source documents into the Welfare Management System (WMS).

Print and review reports to locate previously batched and data entered cases with errors and annotate the DFRP tracking system.

Make copies of cases with errors and attach them to the case packet for return to Group Supervisor for correction.

Review and cross‑reference recoupment information with the recoupment packets received to verify that all recoupments are accounted.

Check WMS daily to verify that all recoupments listed were processed error‑free.

Perform routine clerical and word‑processing functions, including typing, filing, photocopying, and scanning & indexing, ensuring that documents that were digitally converted have been grouped accordingly.

Maintain a log that records all files, packets, and case records for quick and efficient storage and retrieval.

Minimum Qualifications

A four‑year high school diploma or its equivalent approved by a State’s department of education or a recognized accrediting organization and one year of satisfactory clerical experience.

Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.

Preferred Skills

Knowledge of HRA/IREA systems including WMS, HRA Viewer, POS, HRA Scanning & Indexing system.

Knowledge of Microsoft Word, Excel, and PowerPoint.

Excellent oral and written communication skills.

Residency Requirement New York City residency is generally required within 90 days of appointment.
