Job Description ASCAP is seeking an Executive Assistant to support the EVP and Head of Licensing and the EVP, Chief Marketing & Communications Officer. The Executive Assistant will provide comprehensive administrative support including managing calendars, scheduling meetings, booking travel, preparing detailed itineraries, and creating backgrounders and other materials for meetings and events. The role requires a proactive, detail‑oriented, and adaptable individual who can work across Licensing, Marketing, and Strategic Communications teams. Areas Of Responsibility & Accountability Manages calendars for both EVPs, coordinating meetings, conference calls, and travel arrangements/accommodations. Writes internal and external correspondences. Supports Licensing and Marketing meeting preparation, including coordinating materials, organizing files, assembling binders and providing technical & administrative support. Collaborates with the Executive Assistant Team through regular meetings to share and implement best practices. Compiles information for reports and presentations and utilizes Microsoft Office Suite to prepare and edit presentations, correspondence, reports, charts, graphs, etc. Manages multiple licensing and marketing lists, event invites, and correspondences. Researches and analyzes music industry and marketing trends and data. Assists in the marketing of major ASCAP events such as award shows, ASCAP’s annual conference, the “I Create Music” EXPO, high‑level member meetings, and advocacy events. Coordinates ASCAP participation in other industry conferences and events, processes vendor and sponsor contracts, tracks payments, and maintains excellent records. Handles phone calls and emails independently, responding to complex inquiries by directing to the appropriate person. Works closely with staff throughout the organization to realize ASCAP’s mission on behalf of its members and licensees. Files & manages EVP's expense reports accurately and timely in compliance with ASCAP’s policies. Orders and maintains office supplies, tracks & processes invoices, and manages office records. Handles ad‑hoc errands, including ordering lunches and coffees for executives and teams. Qualifications & Requirements Bachelor’s degree required. Two (2) or more years of administrative assistant experience, recent experience supporting a senior marketing or public relations executive, or proven organizational ability. Proficiency with Microsoft Word, Excel, PowerPoint; Mac proficiency required. Ability to synthesize information from multiple sources to draw comprehensive conclusions. Strong organizational skills and high detail orientation. Excellent written and oral communication skills. Proven ability to multi‑task and independently prioritize responsibilities. Adaptability to a dynamic environment. Professional demeanor and telephone manner. Proactive anticipation of executives’ needs. Above‑average knowledge of and passion for a variety of music genres and ability to communicate with creative talent. Willingness and availability to report to the office daily if required; incumbent must be in the office three days per week. Entertainment industry experience preferred. Ability to travel. Compensation & Benefits The anticipated base salary range for this position is $65,000 to $80,000, determined individually based on geographic location, skills, education, and prior experience.
