Senior Director, National Recruitment Outsourcing Division
We are seeking a polished, professional, and service-driven Office Services Assistant that will have Reception/Hospitality responsibilities. You serve as the first point of contact for our firm. This role is essential in creating a welcoming, seamless experience for guests, clients, and employees while supporting daily front desk, hospitality, and administrative operations.
This position is ideal for someone who thrives in a client-facing environment, takes pride in delivering exceptional service, and enjoys being a key ambassador for an organization.
Reception & Guest Services
Greet guests, employees, and vendors warmly and professionally, both in person and by phone
Answer, screen, and direct incoming calls and inquiries
Manage guest arrivals, including coats, luggage, beverages, and meeting escorts
Provide coffee and refreshments and ensure guests are comfortable
Escort guests and vendors throughout the building as needed
Building & Security Support
Maintain knowledge of building policies, procedures, and security protocols
Submit visitor access and ID badge requests; serve as the primary liaison with building security
Issue visitor badges and maintain accurate visitor logs
Generate, track, and follow up on building work orders, maintenance requests, and freight elevator bookings
Ensure reception and conference areas remain safe, secure, and compliant
Hospitality & Conference Services
Keep reception, conference rooms, break rooms, and pantries clean, organized, and well-stocked
Support catering deliveries, setup, and breakdown for meetings and events
Assist with conference room setups and hospitality requests
Monitor and replenish hospitality and pantry supplies
Administrative & Clerical Support
Provide administrative and clerical support to staff and attorneys
Assist with scheduling, document production, copying, printing, scanning, and filing
Maintain and update internal phone and email directories
Organize and maintain tech support materials for guest use
Process and distribute USPS mail
Receive, log, and distribute FedEx and courier packages
Coordinate messenger services as needed
Submit supply orders through approved vendors and maintain inventory
Additional Support
Assist with concierge-style services such as reservations, car service, and travel coordination
Support general office operations, including conference room and break room upkeep
Handle additional tasks as needed to support a smooth office environment
Qualifications
Prior experience in reception, hospitality, office administration, or a client-facing role preferred
Professional demeanor with strong customer service and communication skills
Excellent organizational skills and attention to detail
Ability to multitask and remain calm in a fast-paced environment
Proficiency with phones, office equipment, and basic computer systems
Ability to work both independently and collaboratively
HS Diploma is a Must
