Duties and Responsibilities
Daily general administrative support for Vice President(s), Division Managers, Field Personnel, and other departments as needed.
Bids/RFPs: maintain bid calendar; coordinate and aid in accurate, timely responses for proposals, bid packages, and prequalifications; manage project experience, resumes, and bid files; liaise between contracts and insurance departments.
Event Planning: coordinate large- and small-scale events such as golf tournaments, airshows, charity events, in-house luncheons, off-site meetings, restaurant reservations, retirement dinners, etc.
Accounts Payable: collaborate with AP to process check requests, coding, vendor setup, invoice approval; maintain imprest checking account.
Corporate Reports: collect data from various resources and prepare reports by deadlines; prepare and maintain organizational charts.
Concur/SAP: manage monthly multi-expense reports for the Management Team, track receipts, fill missing forms, code transactions, train employees, answer questions, and resolve issues.
Travel Arrangements: plan and execute logistics including flights, hotels, car rentals, convention registration, activities, etc.
Meeting Coordination: schedule meetings and book meeting rooms via Outlook/Zoom.
Manage multiple ticket accounts for clients and vendors.
Perform other miscellaneous duties such as special projects, ordering office supplies, distributing mail, maintaining office printers, updating seating charts, submitting IT requests, etc.
Experience
Administrative: 5 years (preferred)
Qualifications
Experience in construction industry a plus
Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint)
Ability to interact with C-level internal/external executives
Ability to exercise strict confidentiality
Convey professionalism
Ability to work with minimal supervision in a fast-paced environment
Multi-task and perform under pressure
Ability to perform duties with speed and accuracy
Excellent written and verbal communication skills
High attention to detail
Self-reliant and resourceful
Must be able to maximize the benefits of computer technology and stay up to date with the newest technologies
Schedule
Monday – Friday
7:30 am – 4:30 pm
Some overtime required (as needed)

Compensation : $65,000 – $85,000 / yr (DOE)
