Minimum Qualifications
High school diploma or equivalent.
Preferred Qualifications
Graduate of a Medical Assistant program or secretarial school.
CPR certification.
Experience
One (1) year of administrative or clerical experience.
Core Duties and Responsibilities
Performs clerical duties related to patient care, including:
Enter pending final discharge into SMS (INVISION) system
Identify patient records accurately with patient label
Reduce bulky charts as necessary; maintain storage of partial medical record until patient is discharged
Assemble packets for diagnostic studies, admissions and surgical procedures
Retrieve old medical records when directed
Maintain housekeeping list of discharges and transfers
Prepare alert band for patient allergies
Prepare all medical records on discharge
Organize and fill medical record as needed
Fax discharge instructions to the patient’s primary care physician after discharge
Prepare IDT document
Notify monitor tech when a patient leaves the unit for a test/procedure
Assist the physician including:
Provide appropriate medical record to physicians
Notify nurses of physician’s presence on department
Complete the necessary requisitions and forms
Forward requisition forms to appropriate departments
Schedule diagnostic studies as ordered
Schedule surgery as ordered
Sign orders with full name and time when completed
Provide charge nurse with orders to approve and sign
Accept writes orders only from physician; does not accept verbal orders
Notify physician’s offices regarding consults
Provide assistance and resources regarding EMS (electronic medical record)
Transcribe physician's orders from medical record to Kardex and/or medicine sheets (Skilled unit)
Complete ordered daily lab work (Skilled Unit)
Notify appropriate staff of STAT orders
Prepare all reports, records, and permits as directed by the registered nurse, including:
Place lab, X-Ray and other reports on patient’s medical record after the reports are checked by the registered nurse
Complete specific unit forms
Prepare permits for nurse to complete
Perform SMS (INVISION) functions: i.e. order entry, cancel, discontinues, discharge, consults, work requests, etc.
Act as receptionist for the nursing unit including:
Greet visitors, make eye contact and walk them to the patient’s room
Record and relay messages accurately to unit personnel
Answer telephone and respond to the intercom; keep telephone lines open for incoming calls
Answer telephone within 3 rings, state your name, location and ask how may I help you. Do not leave caller on hold longer than 1 minute – check with them if they would like to leave a message or continue to hold
Place calls as directed by nurses and physicians
Answer physician's pages when required
Answer general inquiries from visitors, patients, volunteers and hospital personnel
Answer call lights and notify appropriate staff
Check incoming mail and distribute
Update white boards in patient’s rooms
Attend in-services and other educational programs as required
Attend and participate in staff meetings
Determine areas of self-improvement; write developmental goals on performance appraisal
Perform clerical duties related to departmental operations including:
Maintain stock of clerical supplies
Enter CPD and Pharmacy charges, (ED only–complete charging in ED apps)
Enter maintenance work orders
Maintain departmental inventory; enter orders for needed items from storeroom
Assign beepers, complete assignments in the call system, assign/update attributes as well as preparing daily assignment sheet for charge nurse to complete daily assignments
Maintain an organized/clean nursing area
Clean refrigerator on as needed basis
Participate actively in the quality improvement program
Collect data for quality audits as directed by the director
Collect data for quality logs as directed by the director
Collect data for environmental rounds
Physical Requirements
Manual dexterity used in operating standard office equipment.
Prolonged periods of sitting.
May be required to walk to various areas throughout the department or medical complex; this may require use of elevators and/or stairs.
Working Environment
Clinical environment.
Skills and Abilities
Basic computer knowledge and ability to operate standard office equipment.
Knowledge of medical terminology.
Proficient in Microsoft Office.
Excellent written and verbal communication skills.
