divh2Executive Assistant/h2pManage multiple executive calendars (District and Area Commanders), schedule meetings, and prepare meeting materials and minutes./ppProvide reception and front-office support-greeting visitors, answering phones and emails, and routing inquiries to appropriate personnel./ppCompose correspondence, draft and edit official letters, memoranda, and reports using Microsoft Word, Excel, and Outlook./ppMaintain personnel files, time and attendance records, and prepare daily attendance reports using GovTA./ppCreate, organize, and maintain electronic and hard-copy filing systems, including records related to budgets, personnel actions, and operational reports./ppSupport the Protective Security Officer (PSO) program by entering inspection data, prohibited-item reports, and case-control numbers into government system./ppCollect and compile Government-Owned Vehicle mileage and maintenance reports; maintain monthly fleet logs./ppAssist with post inspections, training file updates, and tracking audits, covert testing, and supply inventories./ppCoordinate mail processing, courier shipments, and procurement of office supplies./ppMaintain shared drives and data folders for committee memos and other operational documents./ppSupport management in preparing reports, maintain databases, and assist in the preparation of security-related contract documentation./ppOther duties as assigned./ppPrior knowledge of federal office procedures highly preferred./ppAdvanced knowledge and proficiency in Microsoft Word Access./ppIntermediate knowledge and proficiency in Microsoft Excel and PowerPoint./ppExcellent communication skills (both written and verbal) with the ability to prepare and make group/executive presentations./ppAbility to create travel plans, schedule meetings, manage executive calendars, and other general clerical duties./pp2+ years of secretarial/administrative support experience./ppHigh School Diploma, or equivalent./ppRelocation is not available for these jobs.
