Office Assistant – North Center Salary: The average starting salary for this position will be in the range of $38,000 to $43,000 annually, based on skill and experience. Essential Job Functions Operate independently and judge day‑to‑day office responsibilities. Greet clients and visitors, setting a professional welcoming atmosphere. Maintain accurate site occupancy, screen visitors as needed, and follow agency guidelines. Respond to telephone and in‑person client inquiries, take messages, and assist clients in the waiting room as required. Handle difficult calls and determine appropriate disposition using professional judgment. Monitor records and files, create and run reports, and enter data in internal databases. Retrieve documents through manual or automated systems. Organize and file papers and correspondence. Maintain open and closed files, destroy records according to procedures. Some assignments may require standing, moving about for extended periods, and carrying files. Compose and produce documents and reports using agency software packages. Handle incoming mail and packages. Register new program clients, gather appropriate information, collect payments, and check client history. Make frequent contacts at all levels, gather and disseminate information. Schedule appointments and arrange meetings, including reminders for direct service staff, board meetings, donors/sponsors, and vendors. Set up, coordinate, and purchase items for site events. Work with leadership for site meetings and events. Support direct service and administrative staff in agency‑wide committees, initiatives, and special projects. Operate and troubleshoot office equipment, reporting issues to the IS Department. Order and maintain office supplies and equipment, including PPE. May need to travel to other community centers or satellite offices as a backup. Work effectively with diverse staff and service populations. Work evening and weekend hours as needed and assigned. Other duties as assigned. Qualifications High school diploma or equivalent education – required. Two years of office experience, including automated systems – required. Ability to work evening and weekend hours as needed – required. Bilingual in Spanish & English – preferred but not required. Valid driver’s license, vehicle, and insurance – preferred. Comfortable commuting to other sites for trainings. Intermediate computer, work and time management skills. Competence in grammar, math, spelling, and oral and written communication. Effective interpersonal and problem‑solving skills. Ability to interact appropriately with diverse clients and staff. Ability to work effectively with diverse individuals and groups. Additional Requirements MFS staff must provide proof of vaccination or an approved medical exemption before starting employment. If an exemption is obtained, weekly testing is required. Physical Demands While performing the essential duties, the employee is required to sit and stand for sustained periods, frequently talk and hear, use hands and fingers to feel, handle, and operate objects or controls, and occasionally stand, bend, stretch, stoop, kneel, and crouch. Must have close visual acuity for data analysis and viewing a computer terminal. Must be able to lift a child up to 50 lbs.
