Onboarding Specialist
POSITION SUMMARY: The Onboarding Specialist is responsible for managing four key mailboxes: Onboarding, Project Start, Purchase Orders and Invoice Issues. The incumbent collaborates with both internal and external customers throughout the entire onboarding process, from initiating new customer relationships and setting up projects, to managing purchase order receipts, entries, and resolving invoice disputes. The Onboarding Specialist ensures smooth transitions between onboarding phases and provides ongoing support, including assistance with audits. The incumbent is pivotal in delivering seamless customer experiences and maintaining accurate account setup and documentation.
Principal Responsibilities
Delivers outstanding service to both internal and external clients via phone, email, or in person, ensuring timely and precise assistance.
Investigates billing discrepancies, processes adjustments, and manages invoicing and collections.
Receives customer onboarding forms, builds account in Salesforce, D365, EQAI & AESOP. Communicates with Credit, Customer Service and Sales regarding new account builds.
Send contracts to GM's for execution. Uploads executed contracts to D365 & Salesforce, calls customers to welcome them to Republic Services, follows up with an email introducing the customer to customer service, sales and project managers, and provides executed copies of contracts to customers.
Receives work orders from the field and builds D365 projects.
Receives purchase orders from customers, confirms pricing and terms, and enters/uploads into EQAI for billing.
Receives returned invoices/emails from customers—identifies and locates correct contact information to resend invoices to customers.
Receives requests for audit support to pull contract and purchase order copies as needed.
Participates in UAT testing for D365/EQAI/Salesforce updates.
Performs customer account maintenance: updates Sales Tax Exemptions, profile fees, EIR/EEC Fees, customer service contacts, sales contacts, purchase order requirements, adds billing projects, and updates contracts on file.
Performs other job‑related duties as assigned.
Qualifications
Knowledge of basic accounting processes.
Ability to work within a team environment and handle multiple assignments simultaneously.
Proficient with Microsoft Office, DocuSign, and PDF writer.
Detail‑oriented for information accuracy.
Ability to read, analyze and interpret company documents (e.g., credit applications, service agreements).
Strong problem‑solving skills.
Commitment to customer service and the ability to actively listen to customers to understand requests and resolve issues or make recommendations.
High School Diploma—preferred.
Minimum Requirements
2–4 years of data entry experience; including the ability to type a minimum of 35 words per minute.
Role is fully remote. Customer Service experience and billing experience required—additional perks would be D365, EQAI and Salesforce knowledge. The deal candidates will come from ES Billing or ES Customer Support in a hazardous waste role.
Pay range: $17.65–$26.45 (dependent upon ES experience)
