Responsibilities

Assist with high-level multitasking functions including scheduling, filing, and workflow organization.

Manage calls while simultaneously handling customer interactions.

Communicate clearly and concisely both verbally and in writing.

Address inquiries or concerns and de-escalate situations positively.

Process requests submitted through the Smart Sheets program, including orientation, visitor badging, termination/suspension, and temporary badge requests.

Follow-up with customers and fulfill their needs when requests are declined.

Record and track all visitor badging functions, ensuring accurate reporting to management and the team at the end of each business day.

Collect all visitor and temporary badges daily and ensure they are recorded in Smart Sheets for reissue.

Respond professionally and promptly to a significant number of emails daily from two different inboxes.

Provide procedures and policies for newcomers and ensure they are well-informed.

Verify contractors' enrollment and approval in OCIP, guiding them appropriately if not.

Add new or renewed companies in Sitetraxx and assist with processing and badging for Spanish and English orientation classes.

Understand E-Verify and recognize multi-state IDs, Federal IDs, and Passports.

Support the badging of Safety Orientation classes in both English and Spanish.

Essential Skills

Bilingual proficiency.

2+ years of administrative experience.

Proficiency with Microsoft Office Suite.

Excellent written and verbal communication skills.

Personable with a positive attitude.

Additional Skills & Qualifications

Experience with Smartsheet.

Background in semiconductor site support.

Construction Background.

Experience with orientation and badging processes.

Work Environment The position requires working onsite Monday through Friday from 5 am to 1 pm, totaling 40 hours a week with no overtime. Job Type & Location This is a Contract to Hire position based out of Phoenix, AZ.

Pay and Benefits The pay range for this position is $25.00 - $30.00/hr.
