Job Overview We are seeking a highly organized and proactive Project Manager Assistant to support our construction management team. The ideal candidate will help ensure the smooth execution of construction projects by assisting with project planning, coordination, scheduling, document control, and communication between team members, clients, subcontractors, and vendors.
Key Responsibilities
Assist the Project Manager in planning and executing construction projects from start to finish.
Coordinate with subcontractors, suppliers, and internal teams to track project progress.
Maintain and update project documentation, including RFIs, submittals, change orders, and meeting minutes.
Support the scheduling and logistics of materials, labor, and equipment.
Assist with cost tracking, invoice review, and budget monitoring.
Help ensure compliance with safety standards, company policies, and local regulations.
Communicate with clients, architects, engineers, and subcontractors to ensure alignment on project scope and progress.
Conduct regular site visits to monitor progress, quality, and safety compliance.
Participate in on-site inspections and meetings as needed.
Provide administrative support such as filing, data entry, and report generation.
Qualifications
Associate’s or Bachelor’s degree in Construction Management, Civil Engineering, or related field preferred.
1–3 years of experience in construction or project coordination roles.
Familiarity with construction documents, drawings, and terminology.
Strong organizational and time-management skills.
Proficiency in Microsoft Office Suite; experience with construction management software (e.g., Procore, Beam or PlanGrid) is a plus.
Excellent communication and problem-solving skills.
Ability to work independently and in a team environment.
Experience
Proven experience in an administrative or project management role is preferred.
Strong organizational skills with a keen attention to detail.
Proficiency in computer software applications, including Microsoft Office Suite and Procore.
Excellent time management skills with the ability to handle multiple priorities effectively.
Experience in calendar management and office administration is highly desirable.
Strong interpersonal skills with a focus on customer service excellence.
Working Conditions
Work may be performed in both office and field environments.
May involve travel between project sites.
Regular site visits required; must be able to walk active job sites and wear PPE when needed.
