Move In Coordinator – Principal Duties

Answers and directs incoming phone calls and assists with adding prospects to the RSVP log for upcoming marketing events.

Greets and serves all visitors to the marketing office per the Life Care Services Extraordinary Impressions program.

Facilitates discussions and paperwork for unit turn‑over (UTO) work to “ready” an apartment for the next resident, working collaboratively with the contractor and the maintenance manager.

Works with contractor, maintenance and housekeeping departments to ensure timelines are set, met and achieved, ensuring an on‑time move‑in by the new resident.

Processes and coordinates invoices between contractor and new resident for resident‑funded upgrades.

Serves as the primary marketing and sales contact for communication with other departments and resident groups regarding upcoming move‑ins.

Redirects residents to appropriate contacts for questions, comments or concerns.

Maintains a professional appearance at all times.

Works with the incoming resident on resident‑funded upgrades, including discussions on carpet or flooring options, tiles, countertops, glass enclosures, crown molding, faucets, roll‑in showers, or stackable washer/dryer units.

Communicates with internal stakeholders and vendors regarding construction/physical plant changes.

Prepares closing documentation and internal communication timely and accurately.

Serves as the primary contact with the future resident regarding move‑in dates and details.

Updates the community move‑in resource guide as needed.

Qualifications

College degree with a minimum of two years related work experience.

Organizational skills.

Experience in a professional office setting or hospitality environment with strong communication and customer‑relations skills.

Proficient in Microsoft Office applications.

Strong written and verbal communication skills.

Excellent proofreading skills.

Ability to multitask.
