Overview
ExecuSource is seeking a full-time Executive Support Specialist to provide high-level administrative and project coordination support to the Chief Human Resources Officer (CHRO) and the HR department. This role assists with HR-led initiatives, maintains organized documentation, manages communication workflows, and supports daily HR operations throughout the firm.
Responsibilities
Assist with project timelines, task tracking, and progress reporting to ensure deadlines are met
Manage the CHRO’s calendar, schedule meetings, and support department-wide communications and events
Prepare meeting agendas, take minutes, and follow up on action items
Maintain HR documentation including SOPs, templates, reports, and project files
Draft and distribute internal communications, memos, and project updates
Compile reports, metrics, and presentations using Excel, PowerPoint, or HR software
Support data entry, reporting, and system maintenance within HRIS or performance platformsAssist with onboarding logistics, employee engagement activities, and training coordination
Coordinate with vendors supporting HR programs such as learning systems and wellness initiatives
Provide general administrative support to the HR department as needed
Qualifications
High school diploma required; bachelor's degree in Human Resources, Business Administration, or related field preferred
Minimum of 4 years of experience providing high-level administrative support, preferably in a law firm or legal setting
Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Experience with Paychex and/or ADP preferred
Strong writing, grammar, and proofreading skills
Excellent organizational, project management, and multitasking abilities
Proven ability to manage confidential information with discretion
Strong interpersonal skills, professionalism, and executive presence
