Senior Scheduling Specialist
Base pay range $90,000.00/yr - $105,000.00/yr
Position Description Axia by Qcells is seeking an experienced Senior Scheduling Specialist to manage project scheduling activities across the organization. In this role, you will review pipeline reports to identify projects ready for scheduling and work with stakeholders to resolve issues that may delay progress. Key responsibilities include identifying qualified installers in specific regions, sharing project details, coordinating schedules, confirming dates with homeowners, and ordering construction materials. You will collaborate with senior management and cross‑functional teams to develop project plans that align resources, timelines, and budgets while ensuring a five‑star customer experience. The ideal candidate will have strong project management expertise, the ability to navigate challenges effectively, exceptional attention to detail, excellent communication skills, and, per the seniority of the title, will assist the team with a variety of important tasks such as documenting best practices and training new schedulers. Success in this role means ensuring projects are delivered on time, within budget, and to the highest quality standards.
This position will be based out of one of our offices in Irvine, CA; San Francisco, CA; or Santa Clara, CA with a potential in‑office schedule set at the direct manager’s discretion in accordance with company policies. Remote work may be considered for exceptional cases.
Responsibilities
Optimize scheduling efficiency by balancing in‑house crews and sub‑contractor availability, geographic routing, travel time, and project deadlines
Serve as primary point of contact for customers regarding scheduling updates, timelines, and preparation requirements
Review pipeline reports to identify projects that are ready for a scheduling event
Schedule appointments with homeowners and install teams through phone calls, emails, and text messages
Provide guidance to scheduling specialists by assisting in process improvement and training
Root cause analysis to identify bottlenecks or challenges that prevent the scheduling team from achieving targets
Identify opportunities to streamline scheduling workflows and implement best practices across the scheduling team
Send material orders to the procurement team to order bills of materials
Break complex projects into manageable actions, establish timelines, and prioritize tasks effectively
Proactively identify potential risks and develop contingency plans to safeguard project outcomes
Perform other scheduling tasks, such as site surveys, inspections, and job site visits, as necessary
Required Qualifications
6‑7 years of work experience (or a bachelor’s degree plus 3+ years) as a Scheduling Specialist, Project Manager, or similar role, including managing complex projects from inception to completion, ideally in the retrofit residential PV + ESS renewable energy sector
6‑7 years of experience demonstrating excellent customer experience enhancement skills, capable of guiding peers and influencing senior‑level management to drive positive business outcomes
Exceptional prioritization and time‑management abilities, focusing on delivering high‑quality impact
Strong capabilities in client‑facing situations and teamwork; adept at negotiating, navigating ambiguity, resolving conflicts, and solving ambiguous challenges
Hands‑on experience with advanced project management tools (e.g., enterprise‑level CRMs) and quality assurance and risk management familiarity
