Non-exempt, hourly Position Summary The Children’s Museum is seeking a highly organized, detail-oriented Financial & Office Administrator to support day-to-day financial operations, office management, and administrative support for the Executive Director. This part‑time role is ideal for someone with nonprofit experience who enjoys variety, autonomy, and supporting a mission‑driven organization. Key Responsibilities Financial Administration (Primary Focus)
Process accounts payable and receivable Prepare bank and credit card reconciliations Manage payroll coordination and time tracking Track restricted and unrestricted funds Assist with grant financial reporting and documentation Support annual audit and 990 preparation Maintain accurate financial records in accounting software (e.g., QuickBooks) Office & Operations Management
Manage office systems, files, and administrative processes Serve as point of contact for vendors, service providers, and utilities Assist with purchasing and inventory tracking, as needed Support HR administration (onboarding paperwork, personnel files, benefits coordination) Executive Support
Provide administrative support to the Executive Director as needed Assist with scheduling, correspondence, and internal communications Help prepare board reports, financial summaries, and meeting materials Qualifications Experience in nonprofit financial administration, bookkeeping, or accounting Proficiency with accounting software (QuickBooks preferred) Strong organizational skills and attention to detail Ability to work independently and manage confidential information Experience in a nonprofit or small organization strongly preferred Comfort working in a dynamic, family‑focused environment Desired (But Not Required) Experience with grants and restricted funds Familiarity with museum, education, or cultural nonprofits Office management or executive assistant experience To apply, please send resume and brief cover letter (can be in the body of the email) to
