Job Summary We are seeking an experienced and dynamic Front Office Team Lead to oversee and coordinate front office operations in one of the busiest clinics in our practice. This role requires exceptional leadership skills, unwavering attention to detail, and the ability to adapt quickly in a fast-paced, high-volume environment. The ideal candidate will inspire their team, ensure efficient patient flow, and maintain the highest standards of service while fostering a culture of collaboration, accountability, and excellence.
In addition to performing daily front office duties—such as reception, patient intake, scheduling, insurance verification, and financial counseling—the Team Lead will be responsible for mentoring staff, monitoring workflow, identifying process improvements, and serving as a key communication link between front office staff, providers, and management.
Key Responsibilities
Lead, train, and support front office staff to ensure smooth daily operations and a consistently exceptional patient experience.
Monitor and maintain patient flow, resolving challenges proactively to minimize wait times and optimize efficiency.
Greet and assist patients with check-in, registration, and paperwork while modeling professional and courteous behavior for the team.
Oversee insurance verification, authorizations, co-pay collection, and accurate financial reconciliation.
Ensure timely and accurate appointment scheduling, referral coordination, and documentation compliance.
Provide constructive feedback and coaching to staff, encouraging professional growth and accountability.
Communicate effectively with providers, clinical staff, and management to address issues, implement changes, and maintain service quality.
Maintain a clean, organized, and welcoming front office and lobby environment.
Essential Skills & Experience
Proven leadership experience in a medical office or healthcare setting, preferably in a high-volume clinic.
Excellent communication and interpersonal skills with the ability to lead by example and foster teamwork.
Strong attention to detail, organizational skills, and problem-solving abilities.
Ability to remain calm and adapt to changing priorities in a fast-paced environment.
Proficiency in EMR systems and Microsoft Office.
Strong understanding of medical billing, insurance processes, and HIPAA compliance.
Preferred Qualifications
2+ years of supervisory or team lead experience in a healthcare front office role.
Knowledge of medical terminology and urology procedures is a plus.
Bilingual skills strongly preferred.
Qualifications Education:
High school diploma or GED required; post-secondary education diploma preferred.
Experience:
Minimum of four (4) years of experience in a medical office, front office or scheduling experience required. Minimum of two (2) years of team lead or supervisory experience required.
Performance Requirements
Knowledge of clinic policies and procedures.
Knowledge of computer programs and applications.
Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately.
Skill in operating office equipment.
Skill in handling paperwork/filing adequately.
Skill in handling incoming phone calls and triaging appropriately.
Skill in written and verbal communication.
Ability to learn/use other computer programs including Microsoft® Excel, e-mail, Internet, and Microsoft® PowerPoint.
Ability to sort and file materials correctly by alphabetic or numeric systems.
Ability to flexibly respond to changing demands.
Ability to organize and prioritize tasks effectively.
