Position Overview The

Project Administrator

plays a key role in supporting project teams with monthly billing, compliance, and project coordination. This position is responsible for preparing monthly payment applications, tracking subcontractor documentation, and ensuring accurate job cost reporting. You will collaborate closely with Project Managers and the Accounting team to keep projects on track from start to finish.

Key Responsibilities Monthly Billing

Prepare monthly project invoices with construction management software (Procore).

Manage monthly subcontractor invoicing in Procore to ensure subcontractors’ billings are finalized within defined timeframe.

Assist in reviewing subcontractor preliminary invoices. Verify overall amounts, retention, change orders, and stored materials.

Review all job cost transactions and compile monthly general conditions report/expenses backup.

Prepare lien waiver/confirm requested payment amounts are accurate. Obtain internal signature before submission.

Project Administration

Review with Project Manager all approved change events for the billing cycle.

Prepare change order documents, such as Prime Contract Change Orders (PCCOs), as needed. Distribute internally and to clients for signature.

Tracks and follows all insurance certificates and third‑party releases for subcontractor payment.

Contribute to the contract administration process, creating Requests for Information (RFI) and Submittals on an as‑needed basis to support the team and project.

Properly enter all relative correspondence into Company File Structure.

Project Set Up & Close Out

Upload Project Budgets into Procore based on information received from the Preconstruction Team.

Prepare/collect project financial documents for closeout (Certificate of Final Accounting, final lien waiver).

Qualifications

Associate’s or Bachelor’s degree; or 3–5 years of relevant experience.

Experience with Procore or similar construction management software strongly preferred.

Strong financial management and mathematical skills.

Excellent organizational skills and attention to detail.

Effective time management and ability to multitask in a fast‑paced environment.

Strong communication skills, both written and oral.

Skilled in data analysis, problem‑solving, and evaluating financial information.

Compensation

$60,000 - $70,000 - commensurate with experience.
