Job Description Summary The Senior Gift Processor will play a key role in managing and processing gifts, donations, and pledges to the University. This individual will ensure the accurate and timely recording of all gifts, assist in maintaining donor records, and collaborate with various teams within the Advancement office to support fundraising initiatives. The Senior Gift Processor will also generate gift receipts, reports, and help maintain data integrity in the donor management system.

Minimum Qualifications

Two years of experience in gift processing, preferably in a higher education or nonprofit setting.

Strong attention to detail and organizational skills.

Excellent communication skills, both written and verbal.

Ability to work independently and as part of a team in a fast‑paced environment.

High degree of proficiency in Microsoft Office Suite (Word, Excel, etc.).

Knowledge of IRS regulations governing charitable donations and tax reporting is a plus.

Flexible and adaptable in a dynamic work environment, with willingness to learn new systems or adjust to changing organizational needs.

Preferred Qualifications

Bachelor’s degree preferred or equivalent work experience in gift processing, accounting, or a related field.

Experience with donor management software (e.g., Blackbaud Raiser's Edge, Ellucian) highly preferred.

Describe work environment This position is based in a standard office environment and primarily involves sedentary work. Employees are expected to spend extended periods of time working at a desk, using a computer, and engaging in routine office tasks such as emailing, attending meetings, and other similar office duties.

Duties – Gift Processing & Recording

Accurately process all types of donations, including but not limited to cash, checks, credit card payments, pledges, stock transfers, wire transfers, matching gifts and in‑kind gifts.

Record all gifts and pledges in the university’s donor management system, ensuring all gifts are attributed to the correct donor accounts and fund designations.

Reconcile gift entries with financial records to ensure alignment with the university’s accounting department, assisting with year‑end reporting and working with auditors to provide information as needed.

Track and update payment schedules for multi‑year pledges and major gifts.

Process FOAP requests as needed and create new designations and appeals.

Duties – Gift Acknowledgment & Receipting

Generate accurate and timely gift receipts for donors, ensuring compliance with IRS requirements for tax‑exempt donations.

Work closely with Donor Relations to ensure appropriate donor recognition.

Generate end‑of‑year tax receipts, event invoices and biannual pledge reminders.

Duties – Reporting

Generate gift reports for internal stakeholders, including development officers, leadership, and auditors, to support fundraising efforts.

Perform this function by creating and running reports from the reporting tools.

Duties – Donor Database Maintenance & Data Integrity

Create donor records; maintain accurate and up‑to‑date donor records, resolving any discrepancies in a timely manner.

Perform periodic data audits to ensure accuracy and resolve any discrepancies in donor information.

Assist in data clean‑up efforts, ensuring that donor information is current and complete.

Regularly audit records to ensure compliance with university policies and IRS regulations.

Maintain the Gifts Processing Manual and corresponding forms and update as needed.

Duties – Collaboration & Communication

Serve as the primary point of contact for inquiries related to gift processing, resolving donor or internal issues promptly and professionally.

Respond to requests for information from donors, volunteers, and staff in a professional and timely manner.

Coordinate with the finance department to ensure gifts are properly reconciled with general ledger accounts.

Collaborate with senior leadership and other departments to ensure that gifts are processed in compliance with university policies and applicable legal requirements.

Duties – Other Duties

Other duties as assigned by the Director of Advancement Services, Director of Advancement Strategies and Services, and the Vice President of University Advancement.

Participate in the development or implementation of gift processing protocols, systems, and improvements to ensure efficiency.

Provide training and guidance to other staff as needed. Stay informed about IRS regulations and university policies regarding charitable contributions.

Assist with donor engagement efforts, such as creating materials or supporting events, when needed.

Help with year‑end closeout processes and any other administrative tasks related to advancement services.

Salary Range Minimum: $23.10 Maximum: $25.35
