Patient Services Assistant - Urgent Care (West Branch) Summary

This position acts as the front‑line person and provides clerical, secretarial and reception support for the practice. The role coordinates the patient flow process by answering the phone, scheduling appointments, registering patients, verifying insurance information, confirming demographic data, collecting payments, and may be required to schedule tests or procedures and process referrals. The assistant also coordinates activity between front office staff, clinical staff, patients, and providers while demonstrating respect, kindness, compassion, courtesy, and professionalism to patients, families, and visitors, providing excellent customer service to a diverse patient population.

Responsibilities

Strive for excellent customer service by acknowledging and welcoming all patients, families, and visitors; greet customers and answer incoming telephone calls in a timely manner; quickly identify and understand customer needs, concerns, and/or complaints and take required action.

Verify and update patient information to assure safety and accuracy; access various websites to verify insurance coverage and confirm correct provider assignment; complete and update all necessary forms including patient demographics, HIPAA, PPA, MSP, and consent for treatment.

Accurately schedule patient appointments for all providers; utilize several computer systems including practice management, EMR, insurance verification, Medifax, population health registry, and iTerminal.

Register new patients and explain practice policies and procedures—including no‑show, financial, and collection policies; obtain email addresses from patients for satisfaction surveys and portal registration when available.

Prior to patient departure, schedule future appointments, necessary tests and procedures, collect applicable copayments, process referrals, obtain prior authorizations as needed, and check out patients.

Other Duties And Responsibilities

Understand and apply HIPAA privacy regulations to daily verbal and written materials, handling sensitive PHI.

Provide patient education on Televox, financial policy, HIPAA, PCMH, PRC Customer Satisfaction Survey, and the Patient Portal.

Coordinate primary care and specialty provider referrals within MyMichigan Health and other health systems.

Schedule appointments and testing as required; obtain insurance authorizations when necessary.

Maintain a cash drawer according to organizational protocols and balancing procedures at the end of the day, posting payments to patient accounts.

Process all incoming communications, accurately fax, file, and scan documents, and maintain documents in the patient medical record.

Perform office opening and closing procedures; cover multiple practices if required.

Possess knowledge of and accurately perform the medication and prescription release process.

Demonstrate teamwork, clear and concise communication, professionalism, and willingness to train and orient new employees on the role.

Certifications and Licensures N/A

Education

High School Diploma

Associate’s Degree preferred

Experience, Training and Skills

Knowledge of reading, writing, mathematical, and computer skills.

Keyboarding skills required for patient registration and office tasks.

Knowledge of medical terminology, office policies, practices, and procedures normally acquired through at least two years working in a medical office or similar setting.

Interpersonal skills for effective communication with individuals and groups at all levels.

Physical/Mental Requirements and Typical Working Conditions

Exposure to stressful situations and public contact, including trauma, grief, and death.

Ability to wear personal protective equipment (latex or substitutes) as required.

Mobility throughout the facility, with or without assistive devices; ability to perform job functions as outlined.

Adequate vision and hearing, with or without assistive devices.

Frequent sitting, standing, walking, postural changes (stooping, kneeling, crouching); occasional lifting of 0–10 lbs.

Ability to handle multiple tasks independently, maintain predictable attendance, and stay alert.

Overall dexterity required for handling, reaching, grasping, and repetitive movements.
