Location: Arlington, VA; Salary: $90,000.00 - $105,000.00.
Description This position provides senior administrative support for the F-35 Lightning II Joint Program Office (JPO) and leads the life‑cycle program management of the F-35A, F-35B, and F-35C, the fifth‑generation joint strike fighter air system of choice for the U.S. Air Force, U.S. Navy, U.S. Marine Corps, international partners, and foreign military sales customers. Must have the ability to execute independent decisions within established guidelines and ensure appropriate level of discretion while handling highly sensitive and confidential data. Will work as part of a dynamic team of administrators supporting a variety of work activities. Will schedule travel and meetings, and maintain responsibility for calendar organization and de‑conflicting competing appointments.
Responsibilities
Contractor personnel will interact with General Officers, Senior Executive Service (or equivalent) and industry executives regarding a myriad of matters. Familiar with military customs and courtesies, strong oral and written communication skills, experience with completing tasking associated with headquarters personnel and understanding DoD processes. Providing support to various JPO organizations.
Perform a full range of general administrative and clerical tasking for the various F-35 JPO Program Management Offices (PMOs) and functional organizations.
Calendar Management; coordinate and schedule daily, short‑term, and long‑term schedules using Microsoft Outlook. Compose calendars, schedules, itineraries, and arrangements.
Maintain adherence to calendars, schedules, and actions to maximize use of time. Resolve conflicting appointments.
Collect briefings for the meetings within 24 hours of the meeting to be included in readahead binders.
Plan, coordinate, and organize events/meetings (on‑site and off‑site) for assigned F-35 JPO organization.
Secure facilities and submit presentations as required by requesting staff within the prescribed time frame.
Secure and operate necessary equipment (projector, computer, etc.) to conduct briefing.
Take attendance at meetings as necessary; draft and distribute meeting minutes.
Field calls and visitors; respond to telephone calls, take messages when appropriate, and direct callers or visitors to requested Government staff.
Plan and coordinate conference and office visits with distinguished visitors to the F-35 JPO.
Staff and administer documents: prepare correspondence, reports, memorandums, presentations, ready‑to‑send emails, and other forms of communication for distribution across the organization.
Review and perform quality checks on correspondence requiring the Senior Leader’s signature for correctness, conformance to procedural and regulatory instructions, grammar, typographical errors, and necessary attachments.
Monitor and track correspondence to ensure all assigned suspense requirements are met; perform quality control reviews of reports and documents.
Maintain assigned files and record systems per approved guidelines.
Maintain and track daily work schedule and responsibilities for Executive leadership headquarters.
Use the Defense Travel System (DTS) for travel authorizations and vouchers; ensure Government travelers complete travel requests correctly.
Proficient in the commercially available, Commercial off the Shelf (COTS) Task Management Tool (TMT) used in the JPO Task Management System, ETMS2; manage the organization’s ETMS2 using established operating instructions.
Manage the organization’s workflow mailbox and ETMS2 for issues and taskings; assign tasks to appropriate JPO organizations; provide weekly stakeholder emails; prepare status slides for staff meetings.
Check ETMS2 for new tasks daily; ensure new tasks are assigned within 4 business hours.
Set up video teleconferences and meetings using VTC, Microsoft Teams, Webex, Zoom, or other platforms.
Schedule and maintain a calendar of assigned meeting spaces within the F-35 JPO; review quarterly and publish schedules for staff.
Greet and escort visitors as required; coordinate with the organization’s Security Manager for visit requests.
Monitor, track, update, and provide inventory control for office supplies; procure supplies per AF and DoD procedures.
Work with the Business Operations Directorate to provide in‑processing and out‑processing of civilian, military, international partners and contractor personnel.
Additional duties: security manager, records management, equipment custodian, and other program taskings as required.
Update, maintain, and publish organizational charts, recall rosters, and phone lists for the organization; provide updates to the Business Operations Directorate.
Qualifications
Active Secret Clearance required before employment start date.
Bachelor’s degree in a related field.
Minimum of 10 years of experience providing executive administrative support to senior level government officials (Senior military officers, Congressional appointees, SES, or GS‑15).
Experience providing support to senior executives and handling highly classified information.
Strong organizational, communication, and interpersonal skills.
Proficiency with Microsoft Outlook, Word, Excel, and document management systems.
Experience with Defense Travel System (DTS) and task management tools.
