Overview The Homeless Services Clinic Coordinator oversees administrative needs of clinics within homeless services programs. Responsibilities include scheduling clinic programs, managing supplies and inventory, assisting clinic and program providers to facilitate patient care, conducting patient outreach, overseeing contingency management administration, facilitating referrals, and troubleshooting insurance eligibility issues. The role also provides patient health education.

Responsibilities

Conduct patient intakes, register new patients, and maintain accurate medical records.

Register new patients and scan required documents into the Electronic Health Record.

Look up and enter insurance information, and troubleshoot eligibility issues.

Maintain up-to-date patient demographic and insurance information in agency clinic management systems.

Maintain provider visit schedules, and provide regular appointment reminders.

Work with on‑duty staff to conduct outreach and ensure patients attend scheduled appointments on time.

Manage patient flow during clinic hours, including check‑in and check‑out.

Ensure clinics have necessary supplies, prepare facilities and exam rooms prior to appointments.

Conduct inventory checks, submit requisition orders, and dispose out‑of‑date supplies per agency guidelines.

Coordinate site waste disposal with vendors.

Maintain vaccine refrigerator and freezer temperature log.

Label and organize supplies for easy retrieval.

Track encounters and enter charges each week.

Enter and track encounter and billing data to meet productivity targets.

Run insurance eligibility checks for new patients at intake and monthly for existing patients.

Assist patients whose Medi‑Cal is inactive to submit applications and renew insurances.

Contact insurance providers to obtain authorizations for reimbursement.

Coordinate with case managers, providers, and referral specialists for labs, diagnostic tests, and specialty care referrals.

Manage day‑to‑day contingency management operations and train staff on reward administration.

Conduct regular outreach efforts with site staff.

Participate and help conduct group visits at each site.

Attend all required meetings, take notes, and distribute meeting minutes.

Qualifications

Commitment to primary care services for underserved populations with sensitivity to low‑income groups from diverse backgrounds.

Strong organizational, administrative, and problem‑solving skills with flexibility and adaptability.

Effective presentation skills to staff, community partners, and vendors.

Ability to seek direction/approval on essential matters while working independently with minimal supervision.

Team‑oriented collaboration with a varied professional staff.

Excellent interpersonal, verbal, and written communication skills.
