Job Overview The University of Miami/UHealth at Doral has an exciting opportunity for an Executive Assistant. The Executive Assistant reports to and supports top-level leadership (Assistant VP and above) and their department(s) with high-level executive support.
Act as executive liaison, manages calendars, travel arrangements, budgets, and communicates on behalf of the executive. Coordinates meetings, prepares memos and reports, and ensures executive is prepared for meetings and presentations.
Responsibilities
Manage executive’s calendar and approve or decline meeting requests on behalf of the executive to ensure schedules align with priorities.
Prioritize meetings, reschedule or cancel high-level meetings when necessary.
Manage executive’s travel arrangements and budget.
Independently create memos, reports, presentations, project timelines, and other documents for distribution to various departments or during meetings.
Ensure the executive is prepared for meetings and presentations and is kept abreast of important information prior to meetings or conference calls.
Respond on behalf of the executive, ensuring confidential handling of information, correspondence, and communications.
Prioritize and manage multiple projects and special assignments championed by the executive.
Lead the planning of annual or ad‑hoc special events.
Train and supervise lower‑level clerical staff as needed.
Adhere to University and unit‑level policies and procedures and safeguard University assets.
Qualifications
Associate’s degree in a relevant field.
Minimum 5 years of relevant experience.
General knowledge of office procedures and operations.
Ability to accurately prepare and maintain records, files, reports, and correspondence.
Ability to communicate effectively both orally and in writing.
Ability to process and handle confidential information with discretion.
Skill in completing assignments accurately and with attention to detail.
Proficiency in computer software (e.g., Microsoft Office).
