About The Role The Shipping & Receiving Coordinator has expertise in shipping and fulfillment operations within warehouse environments. They are skilled in executing shipping and receiving documentation with high accuracy and attention to detail, coordinating order fulfillment/receipt with warehouse personnel, and communicating effectively with logistics, customer service, and other internal departments. This role requires excellent communication, exceptional organizational skills, and a focus on collaboration with other departments to ensure all shipments and receipts are completed accurately and timely.

Key Responsibilities

Coordinating with the warehouse team on the preparation and on-time execution of outbound shipments with 100% accuracy.

Coordinating with the warehouse and inventory teams on the completion of all inbound receipts including documentation, verification, and entry of receipts into the ERP system.

Being the primary liaison between the warehouse, logistics, and customer service teams.

Partnering with the logistics team to help resolve discrepancies that affect shipments/deliveries.

Ensuring compliance with shipping regulations.

Maintaining accurate records.

Working closely with warehouse staff, carriers, and cross‑functional teams to streamline processes and optimize warehouse efficiency.

Supporting warehouse operations with other tasks and projects as assigned.

Assisting in reconciling physical inventory with system records to ensure accuracy.

Reviewing shipping reports and matching them against shipping documents to confirm correct shipments.

Investigating and resolving inventory discrepancies, including missing or damaged goods.

Collaborating with the warehouse to adjust quantities electronically and manage inventory transfers.

Coordinating the shipment of goods, ensuring proper documentation and system updates.

Arranging dock appointments with carriers and the logistics team.

Verifying that shipped goods meet order specifications and reporting deviations to warehouse management.

Maintaining accurate shipping transaction records and ensuring proper documentation filing.

Communicating effectively with internal departments (warehouse, production, logistics) to resolve shipping and fulfillment issues.

Assisting in inventory audits and physical counts as required.

Supporting process improvements related to receiving, inventory reconciliation, and issue resolution.

Ensuring the accurate transfer of all finished goods and raw ingredients from the Pottstown Warehouse.

Serving as a backup to the Warehouse Inventory Coordinator.

Assisting the Pre-weigh Lead in printing and preparing production batch tickets.

Adapting to changing duties, responsibilities, and activities as needed.

Qualifications

3 years of experience in shipping, logistics, inventory management, or a related warehouse operations role.

Experience with inventory reconciliation and resolving discrepancies in warehouse environments.

Familiarity with shipping documentation, order fulfillment, and coordinating shipments with carriers.

Proficiency in using inventory management systems (WMS), ERP systems, or shipping software.

Experience collaborating with cross‑functional teams, including warehouse, production, and logistics.

Knowledge of warehouse safety protocols, shipping regulations, and standard operating procedures.

Demonstrated experience managing documents, email coordination, and inspecting, verifying, and documenting shipments, including handling returns and damaged goods.

Familiarity with barcoding and RFID systems.

Work Environment

Standard hours: 7:30 a.m. – 4:00 p.m., Monday through Friday, with occasional overtime as needed.

Work is performed primarily in a warehouse or office setting.

Must be able to sit for extended periods (approximately 90% of the time).

Frequent use of hands and fingers for data entry and computer operation.

Must be able to communicate effectively and observe details at close range.
