This is a direct placement, full time position with Statewide Conditioning Inc.
Service Purchaser / Estimator Position Summary This position requires a self-starter to work with the Assistant Service Manager to prepare accurate, comprehensive, and competitive labor and materials estimates for service-driven HVAC installations within specified time frames.
Duties And Responsibilities
Quote service repairs generated within our web-based service program (5-day maximum turnaround)
Review quotes as they are received from technicians throughout the day
Identify priority level and determine if verbal approval is an option with the Assistant Service Manager
High Priority: submit to customer within 1–2 days
Medium Priority: submit to customer within 2–3 days
Low Priority: submit to customer within 3–5 days
Place requests for pricing and lead times with vendors
Conduct research and use available resources to ensure estimate accuracy; work with field supervisor or Assistant Service Manager for parts/labor verification as needed
Receive high-priority service repair part requests and ensure parts are located, purchased, and distributed to the service team
Verify accuracy of items requested and purchased versus items received
Maintain designated service department stock items as needed
Generate purchase orders and manage the purchase order lifecycle per company protocols
Manage warranty purchasing and return purchases
Identify cost‑saving opportunities and propose alternative options when appropriate
Present estimates to management for review, including priority level, materials, labor pricing, standard scope wording, and applicable lead times
Work effectively with customers and field staff by presenting final proposals professionally via personalized email through the tech tool; follow up regularly and resend per SOP
Upon approval, enter job bookings per standard operating procedures and coordinate scheduling with the Service Manager based on labor and material availability
Stage materials for pickup and/or delivery
Requirements And Qualifications
High energy level to manage a dynamic, fast‑paced workload
Ability to work on multiple organized and accurate estimates simultaneously
Excellent time management and task prioritization skills
Strong analytical skills with attention to detail
Excellent communication skills
Customer‑centric mindset
Proficient in Microsoft Office (Outlook, Word, Excel)
Timberline experience a plus
HVAC estimating experience: 2+ years preferred
Self‑motivated, driven, and high‑integrity individual
Strong listening, interpersonal, and customer service skills
High School diploma or GED required
Valid driver’s license for the state of New Jersey
Punctual, dependable, proactive, and able to take initiative
Willingness to embrace process changes as the company grows
Working Conditions Primarily office‑based. Candidate must be able to climb ladders and stairs, maneuver in mechanical rooms, and view system components when required.
