Oncology Scheduling Coordinator Position Summary

The Oncology Scheduling Coordinator is responsible for independently creating and scheduling appointments within the electronic medical record for a complex, multispecialty medical practice. This involves gathering patient-specific demographic and provider information to assess the nature of the request and determine the appropriate appointment area; properly advising patients regarding the need for co-payments and referral authorizations to ensure the patient arrives on time and is prepared for their procedure or visit. The coordinator interacts with patients, customers, referring physicians, clinical staff, and family members and must navigate multiple systems simultaneously, coding procedures with the correct CPT and ICD-10 codes for purposes of scheduling clinic visits and in-office procedures. The coordinator facilitates communication between physicians, patients, and other practices to ensure a seamless transition for patients.

Responsibilities

Independently create and schedule appointments within the electronic medical record.

Gather patient demographic and provider information to assess requests and determine appropriate appointment areas.

Advise patients on co-payments and referral authorizations.

Interact with patients, customers, referring physicians, clinical staff, and family members.

Navigate multiple systems simultaneously to provide exceptional service.

Code procedures with the correct CPT and ICD-10 codes for clinic visits and in-office procedures.

Facilitate communication between physicians, patients, and other practices regarding scheduling and appointments.

Minimum Qualifications

High school graduate or equivalent.

No certifications or licenses required.

Three years experience in a related healthcare field with demonstrated knowledge of medical terminology, CPT and ICD-10 coding and outpatient scheduling.

Skills

Ability to read and write in English; bilingual in Spanish helpful.

Strong organizational skills.

Effective communication with physicians, practices, and various hospital departments.

Computer knowledge, keyboarding skills, switchboard skills, and ability to operate general office equipment.

Supervisor: Manager.

Environment: Bloodborne pathogen (B), general office environment, frequent contact with patients, VDT exposure.

Physical requirements: Long periods of sitting, keyboard usage with ergonomic principles, may need to lift up to 20 lbs, requires good vision, dexterity, and typing ability.
