Warfab, LLC is seeking an organized and proactive Purchasing Coordinator to manage the flow of materials, equipment rentals, and subcontractor services for our projects. This role acts as the strategic bridge between Warfab’s Project Managers (PMs), Sales / Operations Teams, and our vendors. You will be responsible for sourcing quotes, managing costs, and ensuring the right resources arrive at the job site on time.

You will work closely with PMs, Sales, and Operations Teams during the pre-job phase to forecast needs and will supervise a Purchasing Assistant who handles the day-to-day processing and tracking of Purchase Orders (POs).

Key Responsibilities Strategic Planning & Sourcing

Pre-Job Collaboration: Attend and actively participate in pre-job meetings to identify material, equipment, and subcontractor requirements before the project begins.

Vendor Management: Source competitive quotes from vendors and subcontractors to ensure the best value and quality for the company.

Ordering: oversee the placement of material and rental orders, ensuring specifications align with project requirements.

Logistics & Project Support

Delivery Coordination: Manage logistics to ensure all materials, parts, and rentals arrive at designated job sites on schedule, preventing downtime.

PM Communication: Maintain constant communication with Project Managers regarding order status, back‑orders, and delivery windows.

Rental & Sub Management: Actively track all rental equipment and subcontractor timelines. Ensure rentals are "called off" (returned) and subcontractor work is terminated immediately upon completion to prevent unnecessary costs.

Cost Control: Monitor project expenses against the budget. Flag potential overages to leadership and PMs immediately.

Supervision: Direct the Purchasing Assistant's daily activities, delegating PO processing, data entry, and shipment tracking to ensure efficiency.

Schedule & Availability

Standard Hours: This position operates during standard business hours (Monday – Friday, 8:00 am to 5:00 pm).

Proactive Planning: A key goal of this role is to encourage and assist Project Managers in "looking ahead" to schedule needs during regular business hours, protecting personal time for the team.

On-Call Requirement: Due to the nature of our industry, emergencies arise. This role requires on‑call availability during nights and weekends to handle urgent procurement needs that cannot wait until the next business day.

Qualifications & Skills

Experience: Previous experience in purchasing, procurement, or logistics (preferably in an industrial, construction, or fabrication environment).

Communication: Strong verbal and written communication skills; ability to push back on vendors and coordinate effectively with busy Project Managers, Sales, Operations, and Finance Teams.

Organization: Exceptional attention to detail, specifically regarding dates, part numbers, and delivery locations.

Tech Savvy: Proficient in purchasing software and Microsoft Office (Excel, Outlook).
