Job Function
The Front Desk Associate provides general administrative support, including managing the front desk, data entry, document preparation, mail handling, and scheduling. Additional responsibilities include booking travel arrangements, organizing and preparing for meetings, managing expense reports, and assisting in planning company events. This role requires strong organizational and communication skills, basic proficiency in Microsoft Office, and a friendly demeanor.
Responsibilities
Reception Duties: Answer and direct phone calls, greet visitors, and manage the front desk.
Data Entry: Accurately enter and update data in various databases and spreadsheets.
Document Preparation: Assist in preparing and formatting documents, reports, and presentations.
Mail Handling: Sort and distribute incoming mail and prepare outgoing mail and packages.
Scheduling: Assist with scheduling meetings and appointments and managing calendars.
Office Support: Perform general clerical duties, including photocopying, faxing, mailing, and filing.
Supply Management: Monitor and maintain office supplies inventory and place orders when necessary. Oversee conference and break rooms to ensure they are cleaned and always stocked.
Travel Arrangements: Book travel arrangements, including flights, accommodations, and transportation.
Expense Reports: Prepare and reconcile expense reports.
Project Assistance: Provide support on various projects, including research, data collection, and preparing reports.
Communication: Draft and edit correspondence, emails, and memos.
Meeting Coordination: Organize and prepare for meetings, including booking meeting rooms, preparing agendas and materials and taking minutes.
Event Planning: Assist in planning and coordinating company events and meetings.
Ad Hoc Tasks: Provide support on various administrative tasks and projects as needed.
Qualifications
Member of the Church of Jesus Christ of Latter‑Day Saints and currently temple worthy.
High school diploma or equivalent required; some college coursework or advanced certification preferred.
1+ year(s) experience of administrative or office support experience.
Proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint).
Strong organizational and time management skills.
Excellent written and verbal communication skills.
Attention to detail and accuracy.
Ability to handle multiple tasks and prioritize effectively.
Friendly demeanor, team player, ability to work independently, and eagerness to learn and grow in the role.
Ability to work onsite in a professional office setting Monday – Friday during core business hours.
Ability to work overtime as needed.
