Job Purpose
The Nursing Unit Secretary (NUS) assists the professional nursing staff by performing a variety of tasks relating to direct and indirect patient care. The NUS is responsible for routine administrative support, communication functions, and acts as a receptionist to support the Nursing Unit while maintaining a clean and well‑organized work environment.
Responsibilities
Performs a variety of administrative tasks to support the daily workflow of the nursing unit as directed by the Registered Nurse in Charge.
Acts as a liaison in receiving patients, visitors, and hospital personnel.
Manages the unit’s communication systems (phones, call‑bells, Careboard) and addresses the needs of patients, families, doctors, and nursing staff.
Ensures adequate maintenance of supplies and equipment to support the needs of patients and the functionality of the unit.
Attends NUS meetings and unit‑based staff meetings, supporting nursing staff as needed.
Prepares, compiles, and maintains patient medical records, including chart documentation and accurate labeling and filing.
Enters physicians’ orders into the computerized order entry system.
Prepares discharge and/or transfer documentation.
Assists physicians in retrieving records and automated diagnostic results.
Maintains a timely Patient Horizon Scheduler (PHS).
Assists the Nurse Manager with preparing unit‑based documents such as meeting minutes and memos, and performs other clerical duties.
Participates in daily rounds to ensure patient safety and promote a positive patient and family experience.
Performs environmental rounds to ensure a safe and risk‑free environment, following up on identified issues to completion.
Takes necessary steps to reduce risks and reports all environmental and safety hazards to the registered nurse or charge nurse, assisting in emergencies as required.
Attends unit‑specific staff meetings to stay informed of changes in the department and medical center.
Completes other duties and/or projects as assigned.
Adheres to HMH’s organizational and managerial competencies and standards of behavior.
Lifts a minimum of 5 lbs., pushes and pulls a minimum of 5 lbs., and stands for a minimum of 1 hour per day.
Qualifications
High School diploma, general equivalency diploma (GED), or equivalent.
Computer proficiency.
Preferred Qualifications
1‑2 years of prior experience as a secretary in an acute‑care setting.
Exceptional interpersonal skills and demonstrated functional competencies.
Compensation & Benefits
HMH is committed to pay equity and transparency. The posted rate of pay is a reasonable good‑faith estimate of the minimum base pay for this role at the time of posting. Compensation is benchmarked against market data, experience, education, skills, geographic location, internal equity, and budget considerations. Some positions may also be eligible for performance‑based incentives, bonuses, commissions, and shift differentials.
