Executive Assistant

This is a great opportunity to join a reputable Small Family Office Wealth Management company in the Reno, NV area. The company is moving from California and seeking a talented professional to join their team.

Job Summary

The Executive Assistant provides high-level administrative and operational support to the Company Founder, ensuring day-to-day activities run smoothly and efficiently. This role requires exceptional organizational skills, discretion, flexibility, and a proactive mindset. The ideal candidate is highly dependable, detail-oriented, and comfortable supporting both professional and personal tasks, including coordinating schedules, running errands, and assisting with team needs.

Key Responsibilities

  • Provide direct administrative support to the Company Founder, including complex calendar management, scheduling meetings, calls, and appointments
  • Coordinate and prepare materials for meetings, conference calls, and presentations
  • Act as a gatekeeper for the Founder’s schedule, prioritizing requests and managing time effectively
  • Arrange travel, accommodations, and itineraries as needed
  • Run business-related errands, including picking up supplies, documents, and other necessary items
  • Order meals, coordinate catering, and support team events or meetings
  • Serve as a point of contact between the Founder and internal teams, clients, and external partners
  • Manage correspondence, emails, and phone calls with professionalism and discretion
  • Assist with special projects, research, and ad hoc requests as assigned
  • Maintain confidentiality when handling sensitive information
  • Support office operations as needed, including coordination with vendors and service providers

Required Qualifications

  • 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar support role
  • Bachelor’s degree or equivalent professional experience
  • Proven experience supporting senior leadership or a company founder
  • Strong calendar management and scheduling expertise
  • Excellent organizational, time management, and multitasking skills
  • Exceptional written and verbal communication skills
  • High level of professionalism, discretion, and trustworthiness
  • Willingness and ability to run errands and support hands-on operational needs
