Role Overview

Key responsibilities include managing records, assisting with budgetary matters, handling customer service interactions, and supporting general administrative tasks.
Essential Duties & Responsibilities
Greets and directs clients and visitors.
Answers phone calls and emails promptly.
Manages the company telecommunications network and coordinates with the answering service.
Makes appointments and referrals.
Maintains data in spreadsheets and generates reports.
Creates and maintains office‑related records and reports.
Performs data entry and filing tasks for accounts payable, purchase orders, and equipment inventory.
Maintains the integrity and confidentiality of employee and departmental files.
Receives, records, and distributes packages and mail.
Manages key vendor accounts, supply inventory, and submits invoices for payment.
Compiles budget data and maintains financial records as requested.
Prepares reports for mailings, meetings, and other correspondence.
Assists with projects and event support.
Provides assistance to other departments as required.
Supports customer relations and contract creation.
Manages all branch fire alarm invoicing.
Performs other duties assigned by management.
Education & Qualifications
Bachelor or Associate degree, or equivalent work experience.
Friendly and courteous visitor greeting skills.
Typing speed of at least 50 words per minute.
Proofreading proficiency.
Proficiency with Microsoft Office Suite or similar software.
Basic understanding of office equipment and clerical procedures.
Ability to work independently and solve problems.
Strong organizational and prioritization skills.
Other Duties
Adheres to the Code of Conduct, Confidentiality Agreement, and Company Safety Policy.
Performs other duties as assigned.
Physical Requirements
Prolonged periods sitting at a desk and working on a computer.
