Office Administrator
for a full-time, in-person role supporting both front-office and behind-the-scenes administrative functions of our growing psychology group private practice. This position plays a key role in supporting clients, clinicians, and the Practice Owner while maintaining professionalism and confidentiality. About Ocala Psychology:
Ocala Psychology is a group private practice that was founded in 2024. We are an organization dedicated to enhancing the emotional well-being in the community through evidence-based psychotherapy that fosters resiliency, personal growth, and living authentically in alignment with core values. Conveniently located in the Laurel Run Professional Center, we provide both in person therapy in Ocala, Florida and HIPAA-secure virtual service options for individuals located in Florida. Location: 2100 SE 17 th St, Unit 801, Ocala FL 34471 Hours: Monday-Friday 8:00AM – 5:00PM Phone: 352-425-4280 Our Values : integrity, excellence, and compassion. The ideal candidate is a detail-oriented and dependable professional who is warm and welcoming with patients, interested in psychology or mental health, and able to maintain confidentiality. They have experience with or an interest in learning insurance billing and are comfortable using technology in a healthcare setting. Reports to : Practice Owner, Dr. Alexandra Zimbleman, Licensed Psychologist Duties/Responsibilities: Greet and assist clients in a professional, welcoming, and HIPAA-compliant manner Schedule appointments for multiple clinicians Complete insurance verifications and assist with billing and claims reconciliation Support onboarding and credentialing of new clinical staff File, fax, scan, and maintain accurate and confidential office documentation Assist with marketing and outreach Support the Practice Owner with additional administrative and operational duties as assigned Qualifications and Skills Required: Strong organizational and communication skills Professional, dependable, and detail-oriented Customer service skills and experience Strong multitasking skills and ability to shift attention to tasks on demand Ability to maintain confidentiality and work in a healthcare environment Comfortable with computers, email, scheduling systems, and basic office technology including Microsoft Office Interest in psychology, mental health, and helping others Preferred (not required): At least 1 year of experience working in an office setting Prior experience in mental health or medical office settings Familiarity with insurance, billing, and electronic health records Education: High School Diploma is required.
