Position Summary The Procurement Specialist supports the procurement and purchasing function by assisting with sourcing, purchasing, vendor coordination, and inventory activities. This role is ideal for an early to mid‑level career professional seeking hands‑on experience in a manufacturing and engineering environment while learning best practices in cost control, supplier management, and procurement compliance. This position works closely with engineering, manufacturing, finance, and operations teams to ensure materials and services are purchased accurately, timely, and in alignment with company policies.
Key Responsibilities Purchasing & Order Management
Create, process, and track purchase orders (POs) in the company’s ERP or purchasing system
Ensure accuracy of pricing, quantities, lead times, and delivery requirements
Follow up with vendors to confirm orders, shipment dates, and delivery status
Resolve discrepancies related to pricing, quantities, or invoices in coordination with Finance
Vendor Support & Coordination
Assist in maintaining approved vendor lists and supplier documentation
Communicate with suppliers regarding quotes, availability, lead times, and basic contract terms
Support supplier onboarding activities, including collecting W‑9s, certifications, and required documentation
Inventory & Materials Support
Monitor inventory levels and assist with reorder planning to prevent shortages or excess
Coordinate with manufacturing and engineering teams to understand material needs and priorities
Support cycle counts, inventory reconciliation, and materials tracking as needed
Compliance & Documentation
Ensure purchasing activities comply with company policies and internal controls
Maintain organized procurement records, contracts, and purchase documentation
Support audits or internal reviews related to purchasing and inventory
Process Improvement & Administrative Support
Assist with procurement reporting, metrics tracking, and data entry
Identify opportunities to improve purchasing processes, organization, or supplier communication
Provide general administrative support to the procurement function as assigned
Required Qualifications
Bachelor’s degree in business, Supply Chain Management, Finance, or a related field or equivalent combination of education and relevant experience
1–2 years of experience in purchasing, procurement, supply chain, or a related role in a manufacturing or production environment
Strong attention to detail and organizational skills
Proficiency in Microsoft Excel, Word, and Outlook (basic understanding of VLOOKUP and XLOOKUP and other excel functions)
Ability to manage multiple tasks and meet deadlines in a fast‑paced environment
Strong written and verbal communication skills
Preferred Qualifications
Experience in a manufacturing, engineering, or technical environment
Exposure to ERP or procurement systems
Basic understanding of procurement, inventory control, or supply chain principles
Interest in developing a long‑term career in procurement or supply chain management
