General Overview
Reporting to the New Hire Experience Manager, the Talent Operations Coordinator owns the candidate experience throughout the pre‑boarding process for both internal and external associates. The Coordinator provides excellent candidate service and is responsible for the pre‑boarding of all associates, including obtaining required forms, scheduling occupational health and I‑9 appointments and ensuring completion of all pre‑boarding requirements such as background, compliance, reference checks and system access.
Schedule
Hybrid role with onsite presence once a week at BWH (Tuesday)
Full‑time 8:30 AM – 5 PM, Monday–Friday
Duties and Accountabilities
Provide exceptional customer service to candidates, hiring managers, and recruiters throughout the pre‑boarding process.
Lead the new‑hire pre‑boarding process from offer acceptance through New Employee Orientation.
Communicate via email, phone, or in person with newly hired employees to ensure successful completion of all required pre‑employment requirements (I‑9, occupational health clearance, background, compliance, reference checks).
Set up new employees in HRIS system(s).
Run and create reports in the Applicant Tracking System.
Continuously identify and implement ways to improve the pre‑boarding experience.
Partner with team leadership on strategic projects as they arise.
Qualifications
High School Diploma or equivalent required; Associate's or Bachelor's degree highly preferred.
2–3 years of experience in talent acquisition, recruitment coordination, or HR operations preferred.
Experience with an Applicant Tracking System (Taleo, Workday, PeopleSoft) highly preferred.
Skills, Abilities, and Competencies
Strong organizational and multitasking skills with the ability to manage multiple priorities and meet deadlines in a fast‑paced environment.
Proficiency in using applicant tracking systems (ATS) or other recruitment software.
Excellent attention to detail and data management skills, ensuring accuracy and integrity of candidate information.
Strong communication and interpersonal skills, with the ability to effectively interact with candidates, recruiters, and hiring managers.
Knowledge of recruitment process and best practices, including sourcing strategies, candidate screening, and interview coordination.
Familiarity with employment laws and regulations related to recruitment and selection.
Working Conditions
