Compensation : $34 - $37/hr
About This Opportunity Madison Approach Staffing is recruiting a Knowledge Management System Administrator to join a healthcare client’s Workforce Development team for a 12‑month assignment. This dynamic role combines technical expertise, instructional design, and system administration to support learning management systems and competency databases across a healthcare network.
Position Overview As the Knowledge Management System Administrator, you will play an integral role in the development, integration, and implementation of learning management systems and digital competency databases. Working directly with senior leadership, you will ensure seamless delivery of online training, maintain system integrity, and provide technical expertise that enables the organization to achieve its learning and development goals. You will also facilitate trainings for front‑line employees.
Key Responsibilities
Learning Management System Administration
Maintain and optimize the learning management system to ensure high‑quality, easy‑to‑navigate content
Upload and manage eLearning courses and training content as requested
Update courses to reflect policy changes and organizational needs
Ensure system upgrades are implemented smoothly and efficiently
Provide ongoing system maintenance to achieve online training objectives
Monitor system performance and user experience
User Management & Access
Assign and define user roles for organizational learners, including employed staff across all departments, credentialed medical staff, and contracted services personnel
Manage user access permissions and profiles
Ensure appropriate role‑based learning paths and requirements
Competency Database Management
Implement and maintain comprehensive competency database systems
Collaborate with departments to build and upload standardized competencies for specific roles (nursing, radiology, allied health, etc.)
Ensure competency frameworks align with regulatory requirements and best practices
Update competency files to reflect evolving role requirements
Track and document competency completion and compliance
Technical Support & Troubleshooting
Provide first‑line technical support for learner errors and access issues
Troubleshoot system problems and user challenges
Escalate complex technical issues to appropriate IT support teams
Create and maintain user guides and troubleshooting documentation
Respond promptly to support requests from learners and administrators
Analytics, Reporting & Compliance
Maintain accurate records of training completion and competency achievement
Evaluate metrics to gauge training effectiveness and course compliance
Generate reports on learner progress, completion rates, and compliance status
Provide data‑driven insights to leadership on training outcomes
Monitor compliance deadlines and send completion reminders
Track and report on system utilization and engagement
Collaboration & Communication
Partner with departments across the organization to refine online training strategy
Serve as subject matter expert on LMS and competency database capabilities
Share knowledge on how platforms can help achieve organizational goals
Provide ongoing feedback and updates on system enhancements
Disseminate information regarding system upgrades and new features
Deliver training to end‑users on system navigation and functionality
Strategic Support
Support the development and implementation of digital learning initiatives
Recommend system improvements and enhancements
Stay current on LMS best practices and emerging technologies
Contribute to continuous improvement of learning systems
Participate in special projects as assigned
Qualifications
Required Experience
3‑5 years of LMS administration experience
Proven track record managing learning management systems in complex environments
Experience with user management, content uploads, and system maintenance
Strong technical troubleshooting and problem‑solving abilities
Healthcare or regulated industry experience preferred
Preferred Experience
Content development and instructional design experience
Competency development and management
Experience with competency database systems
Background in workforce development or organizational learning
Education
Bachelor’s degree preferred in Computer Science, Human Resources, Education, or related field
Equivalent combination of education and experience considered
Technical Skills
Proficiency with learning management systems (HealthStream, Cornerstone, SuccessFactors, or similar platforms)
Experience with competency management databases
Strong computer skills and technical aptitude
Comfortable learning new software systems quickly
Microsoft Office Suite proficiency (Excel for reporting especially important)
Understanding of SCORM, xAPI, and other eLearning standards preferred
